Choose it if you chain many different apps, and need a list of 9,000+.

PromptLabIn the CRM from $11.99/seat

Choose it if you want automations that start on deals, quotes, tasks and messages.

Zapier is a no-code automation platform that connects apps into multi-step workflows called Zaps, and it lists 9,000+ apps. PromptLab is a CRM for B2B teams that sell products, with workflows built in. So the real choice is a separate automation tool between your apps, or the automation inside the CRM.

Below, the two are compared on price, how each one bills, apps, webhooks, schedules, AI and hosting. We make PromptLab, so every figure comes from Zapier's own pricing and product pages and PromptLab's pricing page, and we say where Zapier is stronger. Zapier's prices are per account a month, billed annually; PromptLab's are per user a month, billed monthly, unless we say otherwise.

Pricing: $19.99 to $69 against $11.99 to $99

Zapier's Free plan has 100 tasks a month and two-step Zaps only. Professional is $19.99 a month for 750 tasks, with one seat, and Team is $69 for 2,000 tasks and 25 users; the price rises with a bigger task tier. Every new account starts with a 14-day trial of Professional. PromptLab has no free plan, a 14-day trial, and runs from Basic at $11.99 to Business at $99 a user a month.

The units differ. Zapier is priced per account and metered by task: each successful action step counts, and at the limit Zaps switch to a higher pay-per-task rate or pause. PromptLab is priced per user, not per task. Billed yearly on both sides, Professional comes to $239.88 for one seat and Team to $828 for up to 25 users, while PromptLab Basic is $99 a user, so eight users cost $792 and nine $891.

Where the workflow starts

A Zap starts in one app and acts in others. Zapier lists 9,000+ apps, plus Schedule by Zapier for daily or weekly runs, and webhooks and AI fields on Professional. Filter, Formatter, Paths, Delay and Looping steps do not count as tasks.

PromptLab workflows start on CRM events: a new deal, a stage change, a quote status, a new contact, a task, a meeting, an inbound email, or a WhatsApp or Telegram message. They also start on a schedule, by hand, or from an incoming webhook on Professional. The data is already in the CRM, so there is nothing to connect first.

What the steps can do

PromptLab steps create tasks, meetings and sales orders, update records, assign owners, and send email, Slack, Telegram or WhatsApp messages. They append rows to Google Sheets, run AI on the record, branch on conditions, wait, loop and ask for approval. An HTTP step comes with Professional at $23.99.

Its reach outside the CRM is narrow beside Zapier's: Slack, Google Sheets, messaging and, on Professional, a call to any HTTP endpoint, against a list of 9,000+ apps. PromptLab can't be self-hosted.

Where Zapier is stronger

Anything that spans many apps. With 9,000+ on its list, Zapier is the tool for a flow that runs through apps PromptLab doesn't connect to. It also sells Agents and Chatbots as separate add-on plans.

Zapier does not need a CRM at all. If the work you automate lives outside one, Zapier fits it, and PromptLab's workflows, built around CRM records, do not.

Which should you choose?

Choose Zapier if…

  • You chain many different apps, and need a list of 9,000+.
  • You automate work that does not start in a CRM.
  • You want a free plan to try it, at 100 tasks a month.

Choose PromptLab if…

  • You want automations that start on deals, quotes, tasks and messages.
  • You would rather pay per user than per task.
  • You want AI steps that read the CRM record without connecting two tools.

Frequently asked questions

Is PromptLab a Zapier alternative?

For automation inside a CRM, yes. PromptLab workflows start on CRM events and act on them. For connecting many outside apps, no: it integrates with far fewer than Zapier's 9,000+.

Is Zapier cheaper than PromptLab?

For one person, no: Zapier Professional is $19.99 a month billed annually, and PromptLab Basic $11.99 a user billed monthly. For a team, often yes: billed yearly, Zapier Team is $828 for up to 25 users, while ten PromptLab Basic users cost $990. Zapier's price is the automation alone; PromptLab's includes the CRM.

Can PromptLab replace Zapier?

If your automations are mostly CRM work, it can. Keep Zapier for flows that chain many outside apps, since PromptLab connects to Slack, Google Sheets and HTTP endpoints rather than thousands of apps.

Does Zapier work with a CRM?

Yes. Zapier has integration pages for HubSpot and Salesforce, and marks Salesforce as a premium app; unlimited premium apps start on Professional. PromptLab's own workflows need no connector for CRM events.

Do I need an automation tool if my CRM has workflows?

Often not for work inside the CRM. PromptLab's workflows start on deals, quotes, tasks and messages and act on them, on every plan from $11.99 a user a month. Keep a dedicated tool when you chain many outside apps.
