Dynamics 365 vs PromptLab

It's the natural CRM for a Microsoft company: quotes, price lists and orders are built in from Professional at $65, and it works inside Outlook and Teams. The catch is the climb: meeting recording starts on Enterprise at $105, CRM autofill and MCP on Premium at $150, and there's no sample tracking.

Quotes, price lists and sales orders come with us too, and we work alongside Outlook and Teams. The difference is who sets it up and what it costs: your sales team, in a day, with meeting recording and CRM autofill from $11.99 a user.

Set up by your team in a day

Dynamics 365 Sales gives an admin a lot to decide: environments, security roles, apps, licences and Copilot credits. Many companies bring in a Microsoft partner to set it up.

PromptLab is self-serve. Start the 14-day trial, import accounts and contacts from a spreadsheet, and quotes, price lists and meeting recording are ready the same day.

A spreadsheet flowing into a tidy pipeline

Claude and ChatGPT on every plan

Its Sales MCP server starts on Premium at $150 a user, and needs Copilot Studio admin rights and Copilot credits. Microsoft's docs also say Claude Desktop isn't supported at this time.

On every plan, we connect Claude or ChatGPT over MCP with your own login. It looks up and updates accounts, deals and tasks with exactly the access you have.

An AI assistant plugged into the CRM's records

Calls that fill in the CRM, from $11.99

Its conversation intelligence starts on Enterprise at $105 a user, and AI that fills CRM fields needs Premium at $150. On Professional, reps write up their own calls.

Every PromptLab plan records your Zoom, Meet and Teams meetings, writes the summary and drafts the follow-up email. It also fills in the deal and contact fields from what was said.

A call filling in the fields of a CRM record

From $11.99 a user, not $65

At $65 to $150 a user a month, billed annually, each step up in Dynamics 365 Sales unlocks more of its AI. WhatsApp and LinkedIn tools are add-ons on top.

Three published plans: Basic at $11.99, Professional at $23.99 and Enterprise at $99 a user, billed monthly. Recording, summaries, quotes and the WhatsApp and Telegram Inbox all come with Basic.

How to switch from Dynamics 365

Four steps to move your team and your data over.

Records moving from an old CRM into PromptLab
1. Export views to Excel

In Dynamics 365 Sales, open the Active Accounts, Contacts or Opportunities view and select Export to Excel on the command bar. Do the same for quotes and orders.

2. Import into PromptLab

Click Import on our Accounts, Contacts or Deals list and upload the Excel file, or pick it from Google Drive.

3. Map the columns

Match each Dynamics column to the matching field and run the import. Quotes, sales orders, tasks and notes come in the same way.

4. Ask for migration support

Enterprise includes data migration support and a dedicated account manager for a larger move. Reps can keep working in Outlook and Teams throughout.

Frequently asked questions

Is Dynamics 365 a CRM?

Yes. It's Microsoft's family of business apps, ERP included, and Sales is its CRM. Sales runs from $65 to $150 a user a month, billed annually.

Which is better, Dynamics 365 or PromptLab?

It wins for a company standardised on Microsoft, especially one on a Dynamics ERP with IT staff to configure it. We're the pick for a sales team that wants to run its own CRM, and we win on setup time and price.

Is PromptLab cheaper than Dynamics 365?

Yes. We run from $11.99 to $99 a user a month; its Sales app runs from $65 to $150, billed annually. Meeting recording alone needs its Enterprise edition at $105, and we include it on Basic.

Can I move my data over?

Yes. Export accounts, contacts, opportunities, quotes and orders from your Dynamics views with Export to Excel. Then click Import on our Accounts, Contacts or Deals list and map the columns. Enterprise adds data migration support.

Who is PromptLab best for?

Manufacturers and distributors whose sales team wants a CRM it can set up itself. If your ERP isn't Dynamics, or you'd rather skip a Microsoft project, we have quotes, samples and meetings running this week.
