Follow-Up Agent: auto-draft emails and create tasks

The Follow-Up Agent drafts personalized follow-up emails and creates action-item tasks after every meeting — review, edit, and send in seconds.

After every customer meeting, the Follow-Up Agent reads the meeting summary and conversation history, drafts a follow-up email tailored to that conversation, and creates tasks for any commitments your team made. You get the time savings of automated drafting without losing the personal touch — because you review and edit every draft before it goes out.

The Follow-Up Agent is available on the Business plan ($108/month per user) and Enterprise plan. To upgrade, go to Settings > Billing > Plans.

What the Follow-Up Agent does

The Follow-Up Agent handles two things automatically after each meeting:

  • Drafts a follow-up email based on the meeting summary, prior conversation history, and any action items discussed — pre-populated with the right context for that specific customer
  • Creates next-step tasks for each commitment or deliverable identified in the meeting — assigned to the appropriate team member and linked to the deal

Both the email draft and the generated tasks appear in PromptLab as soon as the meeting summary is processed, typically within a few minutes of the call ending.

How the agent uses meeting summaries

PromptLab generates a meeting summary automatically after every recorded call or meeting (via your connected calendar and video conferencing integrations). The Follow-Up Agent reads that summary along with the full conversation history for the deal — previous emails, call notes, and messages — and uses that context to write a follow-up that references specific topics discussed rather than a generic template.

For example, if the meeting summary mentions that you agreed to send pricing for two SKUs by Thursday, the draft will reference those SKUs and the Thursday deadline.

How to review and send AI-drafted follow-ups

Open the activity feed

After a meeting ends, navigate to the deal and open the Activity tab. The Follow-Up Agent's draft appears as a new activity item labeled AI draft — follow-up email.

Review the draft

Click the draft to open it. Read through the full email — check that the context is accurate, the tone matches how you communicate with this customer, and any specifics (dates, product names, pricing) are correct.

Edit and personalize

Make any edits directly in the draft editor. You can adjust the opening, add personal context the agent may not have captured, or reword anything that doesn't sound like you.

Send the email

Click Send to dispatch the email from your connected email account. The sent email is logged automatically to the deal timeline.

How post-meeting tasks are created

Alongside the email draft, the Follow-Up Agent creates tasks for each action item it identifies in the meeting summary. Tasks appear in the Tasks module and are linked to the relevant deal.

To review generated tasks:

  1. Go to Tasks in the left sidebar or open the deal and click the Tasks tab.
  2. Review each generated task — confirm the due date, assignee, and description are accurate.
  3. Edit or delete any tasks that don't apply, and add any commitments the agent may have missed.

Always review AI drafts before sending. The Follow-Up Agent pre-populates the right context, but your personal tone and relationship with the customer are things only you can add. A quick edit makes the email feel genuine rather than automated.
