Quotes & Samples: send margin-first quotes at scale
Create margin-first quotes in minutes, track read receipts, manage sample accountability, and convert quotes to sales orders without leaving PromptLab.
Quotes & Samples removes the lag between a customer conversation and a price in their inbox. Instead of spending days cleaning up quote documents or manually tracking which samples went where, you create professional, margin-aware quotes in minutes and maintain full accountability for every high-value sample across your customer base. Quotes that used to take days now take minutes, and RFQ cycles drop by more than half.
Key capabilities
Margin-first quoting
See unit costs alongside list prices on every line item so you protect profitability while staying competitive — before you hit send.
Quote tracking and read receipts
Know exactly when a customer opens your quote so you can follow up at the right moment instead of guessing.
Custom quote templates
Build branded templates for different product lines or customer segments and reuse them for every new opportunity.
Sample tracking
Maintain 100% accountability for high-value goods sent to customers — track what was sent, when, and to whom.
Margin-first quoting
Every quote shows unit cost and list price side by side for each line item. Before you send anything, you can see your margin at both the line level and the total quote level. Adjust pricing with confidence — you always know the floor before making a concession.
Quote tracking and read receipts
Once a quote is sent, PromptLab notifies you the moment the customer opens it. Use that signal to time your follow-up call — reaching out right after a customer reads a quote is significantly more effective than following up on a fixed schedule.
Sample tracking: stop sample leakage
The Samples module tracks every physical sample shipped to a customer. Log what was sent, to which contact, and on what date. Set expected return dates and receive alerts when samples are overdue. This gives you full accountability across your customer base without relying on spreadsheets or memory.
Sales order management
After a customer accepts a quote, convert it to a sales order in one click. The order inherits all line items, pricing, and customer details from the quote — no re-entry required.
Quotes are automatically attached to the associated deal in your pipeline when created. You can find every quote for a deal under the Quotes tab on the deal record without searching separately.
Getting started with Quotes & Samples
Create a new quote
Open a deal record and click New quote, or navigate to Quotes in the left navigation and click Create quote. Select the customer and associated deal to link the quote automatically.
Add line items and set pricing
Add products or services to the quote. For each line item, review the unit cost and set your list price. The margin indicator updates in real time as you adjust pricing. Apply any applicable discounts at the line or quote level.
To reuse a previous quote structure, click Apply template and select a saved template.
Send the quote to your customer
Click Send quote to deliver it by email. The customer receives a professional, branded quote document with a link to view it online. You can add a personal message before sending.
Track read status
After sending, return to the quote record to monitor read status. When the customer opens the quote, you'll see a Viewed timestamp and receive an in-app notification. Use this as your cue to follow up.
Convert to a sales order
When the customer accepts, click Convert to sales order on the quote record. All line items, pricing, and customer information carry over automatically. The deal stage advances to reflect the accepted order.
Build templates for your most common quote types — standard product lines, project-based pricing, or multi-location accounts. Templates cut setup time on every new quote and keep your documents consistent across the team.
Margin visibility depends on your product catalog having accurate cost data. If unit costs are missing or outdated, the margin indicator won't reflect reality. Keep your product catalog current to get reliable margin guidance.
