Get started with PromptLab: first-time setup guide
Set up PromptLab in six steps — connect your tools, invite your team, configure your pipeline, and send your first quote in under an hour.
PromptLab is designed to be up and running quickly. Follow these steps to connect your communication tools, set up your pipeline, and start capturing deals from day one. Most teams complete this setup in under an hour.

Sign up and start your free trial
Go to supplier.trypromptlab.com/book/meeting-with-me to book your onboarding call or start your trial directly. During sign-up, you'll choose your plan — Pro ($36/user/mo), Business ($108/user/mo), or Enterprise (custom pricing). All plans include a 14-day free trial.
Once your account is created, log in and complete your profile. Add your name, role, and company so your team members can identify you in the workspace.
Connect your communication tools
PromptLab captures emails, calls, and meetings automatically — but only after you connect your tools. Navigate to Settings > Integrations and connect the services your team uses:
- Email: Gmail or Outlook
- Calendar & meetings: Google Meet, Zoom, or Microsoft Teams
- Messaging: Slack, WhatsApp, or Telegram
Each integration authorizes PromptLab to capture conversations and log them to your CRM automatically. You can connect multiple tools and enable or disable them at any time.
Invite your team members
Go to Settings > Team and invite your sales reps, managers, and any other users who need access. Enter their email addresses and assign roles — PromptLab supports rep-level and admin-level permissions.
Each invited user will receive an email with a link to set up their account. They'll need to connect their own communication tools after signing in.
Business and Enterprise plans include admin controls for managing permissions across your team. If you're on Pro, all users share the same access level.
Set up your pipeline and add your first accounts
Open the Pipeline tab and configure your deal stages to match your sales process. You can add, rename, and reorder stages to reflect how your team actually works — for example: Prospecting → Sample Sent → Quote Submitted → Negotiation → Closed.
Next, add your first accounts. You can import existing accounts from a spreadsheet or use AI Prospecting to find new ones. In AI Prospecting, filter by industry, revenue range, and location to build a targeted account list, then add the ones worth pursuing directly to your pipeline.
Enable Call Intelligence for your first meeting
Before your next customer call, make sure Call Intelligence is active. Go to Settings > Call Intelligence and confirm that recording is enabled for your connected meeting platform (Google Meet, Zoom, or Microsoft Teams).
When you join your next call, PromptLab will record and transcribe it automatically. After the call ends, you'll see a 10-second AI summary in your deal workspace along with a full transcript and suggested next steps.
Call recording requires explicit consent in many jurisdictions. Make sure you inform call participants that the call is being recorded before enabling this feature.
Send your first quote
Open a deal in your pipeline and navigate to the Quotes tab. Click New quote and fill in the line items, quantities, and pricing. PromptLab uses a margin-first layout, so you can see your margins as you build — not after.
Once the quote is ready, send it directly from the deal workspace. The quote is automatically linked to the deal and logged in the CRM. You can also track physical samples from the same view by adding a sample shipment to the deal.
