A manufacturer who wants to sell through distributors is asking a busy company to carry another line. The distributor has plenty to choose from, so your email has to answer their question first: what is in it for them, in margin, demand and support?

These templates take you from a first approach to a welcome email once they sign. Keep each one short and specific. For the strategy behind them, read how to sell through distributors, and use the distributor onboarding checklist when someone says yes.

The first approach

EmailFirst approach to a distributor

Subject: [Product line] for your [Region] customers

Hi [First name],

I'm [Your name] at [Your company]. We make [Product line] and are looking for a distributor in [Region], where we don't yet have a partner.

I'm writing to you because you already supply [Type of customer] and carry [Related product]. Our line fits next to it, and your customers could buy it without changing how they order.

What we offer partners: [Margin or discount structure in one line], [Support, for example technical help or sample stock], and [Territory terms].

Could I send the partner pack and a price list? A 20 minute call after that would be enough to see whether it fits.

[Your name]

Use it for a distributor you have researched. Say why this partner, and what they earn.

After a trade show

EmailAfter meeting at a trade show

Subject: Good to meet you at [Show], and next steps

Hi [First name],

It was good to meet you at [Show] and talk about [Topic from the conversation]. As promised, I've attached the product sheet for [Product line].

You mentioned your customers in [Segment] are asking for [Need]. We can help there, and I'd like to send a partner price list and a sample set. Where should I send it?

[Your name]

Use it within three working days of the show. Mention something only the two of you discussed. Our trade show follow-up email templates cover the rest of the lead list.

Sending the partner price list

EmailPartner price list

Subject: Partner prices for [Product line]

Hi [First name],

Thank you for your interest. Attached is our partner price list for [Product line], valid from [Date].

How it works:
- Prices are per [Unit], ex-works [Location]
- Minimum first order: [Quantity]
- Payment terms: [Terms]
- Territory: [Exclusive or non-exclusive], for [Region]

I'd be glad to walk you through it. If you tell me your top three products, I'll prepare a first-order proposal.

[Your name]

Use it once the distributor has asked for terms. Put the conditions in the body so they are not buried in a spreadsheet.

Following up

EmailFollow-up after no reply

Subject: Re: Partner prices for [Product line]

Hi [First name],

I wanted to check that the partner price list reached you. If the timing isn't right, tell me when to come back and I will.

If it helps, I can send a short list of the three products that sell best for our partners in [Similar region]. One line from you is enough to continue.

[Your name]

Use it a week after the price list. Give a reason to answer, such as a short list or a sample.

EmailOffer a sample set or a call

Subject: A sample set for your sales team

Hi [First name],

Many distributors tell us their buyers want to see the product first. I'd like to send a sample set of [Products] for your technical team, together with the data sheets.

If your reps are going to present the line, I can also join a call to explain the application. Which would you prefer?

[Your name]

Use it when interest is there but nothing moves. Samples for the distributor's own team lower the risk of saying yes.

Welcoming a new distributor

EmailOnboarding welcome

Subject: Welcome to [Your company]: your first 30 days

Hi [First name],

Welcome, and thank you for the agreement on [Product line] in [Region]. Here is what happens next.

This week: I'll send the product training pack, the data sheets and your price list. Within 30 days: a training call for your sales team, your first stock order and a joint visit to your first customer.

Your point of contact for orders is [Name, Email]. For technical questions, it is [Name, Email]. I'll check in on [Date] to see how it's going.

[Your name]

Use it the day the agreement is signed. Give dates, names and the first three actions.

How to personalise them

  • Lead with their customers. A distributor cares about the buyers they already serve.
  • Put the margin early. The terms are the first thing they look for.
  • Offer proof. A sample set, a data sheet or a training call lowers the risk.
  • Match their size. A national distributor and a local one want different things.

Frequently asked questions

How do I approach a distributor for the first time?

Research them first. Write to a named person, say why their customers fit your product and state the terms you offer. Ask for a short call or permission to send a price list.

What should a partner price list include?

Prices per unit, the basis (for example ex-works), minimum order, payment terms, territory and the date the prices are valid until. Our guide to managing customer price lists covers the upkeep.

How often should I follow up with a distributor?

Once a week after the price list, then every few weeks with a new reason, such as a new product or a sample set. Stop after three or four tries and revisit later.

Should I offer exclusivity?

Only if the distributor commits to volume and a sales plan. Start non-exclusive or time-limited, and set clear targets for renewing it.

What do I send after the distributor signs?

A welcome email with the next 30 days: training pack, price list, contacts and the first order. The distributor onboarding checklist lists everything to cover.
