A good follow-up email after a meeting does three things. It confirms what was agreed, it names the next step with a date, and it makes replying easy. Send it the same day, while the buyer still remembers the call.
The templates below are written for reps who sell physical products: coatings, chemicals, plastics, packaging, industrial supplies. Buyers in those markets want specifics: a spec, a sample, a price or a delivery window. So each email points at one of those. Same-day recap emails
Send these within a few hours of the meeting. Keep them short enough to read on a phone.
Subject: Recap of our call and next steps
Hi [First name], Thanks for your time today. Here's what we agreed: - You need [Product] to meet [Spec or standard] for [Application]. - I'll send a [Size] sample by [Date]. - You'll send your monthly volume and delivery address by [Date]. Use it after a first discovery meeting, when there are clear actions on both sides.
Subject: Thanks, [First name]. One question
Hi [First name], Thanks for the call. One thing I didn't catch: roughly how much [Product] do you use a month? It decides which pack size and price break I quote. Once I have that, I can send the quote the same day. [Your name]
Use it when you left the meeting with one gap that blocks the quote.
Subject: Technical points from today: [Product] for [Application]
Hi [First name], Thank you, and thanks to [Colleague] for the detailed questions. The points I noted: 1. Required [Property, for example viscosity, melt index or cure time]: [Value]. 2. When you promised something

Hi [First name], As promised, here's the [Document: price list, TDS, spec sheet, reference letter]. The line to look at first is [Item], on page [Number]. If the numbers aren't what you expected, call me on [Phone] and we'll go through it. [Your name]
Send it on the day you promised. A document that arrives late suggests the order will too.
Subject: Summary for you and [Colleague]
Hi [First name], hi [Second name], Thank you both for your time. Here's a summary you can forward internally: What you need: [One line]. What we propose: [One line]. Next step: [Action], by [Date], owned by [Name]. I've copied [Third name] from our side, who will handle the technical questions. [Your name]
Use it when purchasing, quality and production all have a say in the decision.
When the meeting did not end clearly
Subject: Any questions after our meeting?
Hi [First name], I wanted to check whether anything from our meeting on [Day] raised questions. Sometimes the price looks fine and the doubt is about delivery, or the other way round. If it helps, I can set up a 15-minute call with [Colleague] to go through [Topic]. [Your name]
Send it three to four working days after the meeting if the buyer has gone quiet.

Hi [First name], On our call you said [Objection, in their words]. That's a fair point, and I didn't give you a full answer. Here's what I can offer: [Concrete answer, for example a lower minimum order, a trial pack or a different grade]. Would a short call be worth it, to see if that changes things? [Your name]
Use it when the buyer pushed back and you left without a good reply.
Subject: Our meeting on [Day]
Hi [First name], Sorry we missed each other on [Day]. Shall we find another time? These work for me: [Slot 1], [Slot 2], [Slot 3]. If none suits you, suggest a time and I'll fit around it. [Your name]
Send it the same day as a no-show. Keep the tone light, and don't ask why.
Subject: Thanks for being straight with me
Hi [First name], Thanks for letting me know you're staying with [Current supplier] for now. I appreciate the clear answer. If anything changes, such as a new project or a supply problem, my details are below. I'll check in around [Month]. [Your name]
Use it when the answer is no. It keeps the door open for a later quote.
How to personalise them
Generic emails get generic answers. Before you send, change three things.
- Use the buyer's own words. Quote the exact phrase they used for the problem. "You said the current grade yellows after a week" beats "your quality concerns".
- Name one number. A volume, a date, a pack size. It shows you listened.
- Match their channel. If the buyer wrote to you on WhatsApp, a short message there may land better than a long email. See our WhatsApp templates.

The drafted email is a starting point. Read it, add the one detail only you know, and send it.
Frequently asked questions
How soon after a meeting should I send a follow-up email?
The same day, ideally within a few hours. If you promised a document or a sample, send it as soon as it is ready and say so in the subject line. A recap that arrives a week later reads as an afterthought.
How long should a follow-up email after a meeting be?
Under 120 words for a recap is a good target. List the next steps in bullets, name a date, and stop. Technical points can go in an attachment.
What should the subject line say?
Say what is inside. "Recap of our call and next steps" or "TDS you asked for" works better than "Following up". A buyer scanning an inbox should know in a second whether to open it.
What if the buyer does not reply to my follow-up?
