Meeting no-show email templates
Nine meeting no-show messages for product sales reps: the first check-in, a reschedule, a gentle second try and a final note, by email, WhatsApp and Telegram.

A buyer misses the meeting. You wait ten minutes, then wonder what to do. The worst replies are an angry email or no reply at all. Most no-shows are not rejections. A plant visit ran over, the invite went to a shared inbox, or the call slipped down a very busy day.
These templates help you recover the meeting without pressure. They start with a light check-in on the same day, move to a clear reschedule, and end with a polite stop if the buyer has gone quiet. For the meeting itself, see how to write follow-up emails and follow-up emails after a meeting.
The same day
Subject: Our call today at [Time]
Hi [First name], I'm on the line for our [Time] call, but I haven't seen you yet. Is there a problem with the link? Here it is again: [Meeting link]. If today isn't going to work, no problem. Tell me a better time and I'll move it. [Your name]
Send it about five to ten minutes after the start. It treats a no-show as a possible link problem.
Hi [First name], it's [Your name]. I'm in the meeting room for our [Time] call. Are you still able to join? If not, no problem, just tell me when suits you better.
Use it where WhatsApp is how you already coordinate with the buyer. Short is better.
Hello [First name], we had a call booked for [Time] today. I couldn't see you in the meeting. Shall we try again, maybe tomorrow at the same time? Here's the link: [Meeting link].
Use it as a reply when the buyer has already messaged your company bot. Telegram requires the buyer to write first.
Rescheduling
Subject: Let's find another time
Hi [First name], We missed each other today, which can happen. I'd still like to cover [Agenda, for example the new price list and the sample results]. Could you do [Day and time] or [Day and time]? If neither suits, send me a window that works and I'll fit around you. It only needs 20 minutes. [Your name]
Send it the same day or the next morning. Two concrete options beat "when are you free?".
Subject: A shorter call about [Topic]
Hi [First name], I know your days are full. Rather than another 45-minute call, how about 15 minutes on [Topic]? I'll send the key figures first, so you can read them before we talk. Does [Day] at [Time] work? [Your name]
Use it when the first meeting was long or the buyer is clearly busy. Offering less is often what gets a yes.
Subject: Shall we skip the call?
Hi [First name], If a call is hard to fit in, we can sort this out by email. For [Topic], these are the points I wanted to cover: 1. [Point one] 2. [Point two] 3. [Point three] Reply with your thoughts on each and I'll update the quote. If a call would still help, I'm free [Day] or [Day]. [Your name]
Use it when the agenda is simple. It lets the buyer reply in two minutes.
If they stay quiet
Subject: Still keen to talk about [Topic]
Hi [First name], I wanted to try once more about [Topic]. I know things get busy. I still think a short conversation would help you decide about [Decision, for example the grade for your next production run]. If it's easier, reply with just a day and I'll send the invite. [Your name]
Send it three to five days after the first reschedule. Mention the buyer's goal, not your missed call.
Subject: I'll check back in [Month]
Hi [First name], I haven't been able to reach you, so I'll assume the timing isn't right and leave you in peace. I'll write again in [Month] to see where things stand. If you want to talk sooner, reply to this email and I'll make time. [Your name]
Use it as the last message in the chain. Set a task for the date you named.
When you were the one who missed
Subject: Apologies for missing our call
Hi [First name], I'm sorry I missed our call today. [One-sentence reason.] That was my mistake, not yours. Could we reschedule? I can do [Day and time] or [Day and time], and I'll make sure I'm on the line five minutes early. [Your name]
Use it straight away and keep the excuse to a sentence. Owning it quickly saves the relationship.
How to personalise them
- Reference the reason for the meeting. "The sample results" gives a reason to rebook. "Our call" does not.
- Offer something easier. A shorter call, an email, or a message on their favourite channel.
- Do not guilt the buyer. Avoid "you didn't show". Say "we missed each other".
- Keep a record. Note the no-show on the account so the next rep knows the history.

Frequently asked questions
How long should I wait for a no-show before I message?
Five to ten minutes is usual. Send a short check-in with the link, in case the problem is technical, then send a reschedule note later the same day or next morning.
Should I mention that the buyer missed the meeting?
Keep it light. "We missed each other" works better than "you didn't show". The aim is a new time, not an apology from the buyer.
How many times should I try to reschedule?
Two or three attempts over about two weeks, on different channels where you can. After that, send a polite closing note, set a task to check back in a month or two, and move on.
Which channel is best after a no-show?
Use the one the buyer replies on fastest. For many, that is WhatsApp or Telegram for a quick check, and email for the reschedule with the agenda.
How do I make sure no-show follow-ups happen?
Turn each one into a task with a date. In PromptLab, a workflow can create a task for the owner when a meeting event happens, such as a meeting being created or cancelled, and the rep sends the message from the shared Inbox.
