TOP PICKSCRM for importers#11PromptLabOUR PICK2HubSpot3Zoho CRM4Salesforce

A trading company sells across borders, often to buyers it meets once a year at a fair. The buyer is in another country and another time zone, and does business on WhatsApp or Telegram more than by email. The deal takes months. A sample goes out, a price list for that market follows, and the order lands long after the first message.

Our pick is PromptLab. Quotes, customer price lists, sales orders and sample tracking come on every plan from $11.99 a user a month, and email, WhatsApp and Telegram share one Inbox. The honest limit: the app doesn't handle customs, shipping or logistics, so pair it with the tools you already use for those.

What an import and export business needs from a CRM

Our criteria come from how trading companies actually work.

  • Buyers on the channels they use. Overseas buyers reply on WhatsApp and Telegram. If those threads stay on a rep's phone, nobody else can pick up the account.
  • A price list per buyer or market. Terms differ by country and by customer. The CRM should hold each buyer's prices and quote from them.
  • Quotes and orders in one place. When a quote is accepted, the sales order should go in the same CRM, on the buyer's account.
  • Samples with a trail. Samples cross borders slowly. You need to know what went where and who has answered.
  • A long deal that doesn't go cold. With long lead times, a follow-up has to happen without anyone remembering it.
  • Meetings in the buyer's language. Video calls with buyers abroad should be recorded and summarised.
  • Currencies. If you quote in several currencies, test how each CRM handles that during a trial. We haven't compared it here.

The best CRMs for importers and exporters

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Trading companies that quote, sample and chat with buyers abroad

PromptLab keeps the whole trading conversation on the account. A shared Inbox holds email, WhatsApp (on your WhatsApp Business number) and Telegram (on your company's own bot, where the buyer messages first), so any colleague can pick up a thread. Customer price lists, quotes and sales orders sit beside it, with sample tracking for the batches that go out first.

Meetings on Google Meet, Zoom and Microsoft Teams are recorded and transcribed in over 100 languages, then summarised, with a follow-up email drafted. Workflows create tasks when a quote changes status, so a long deal keeps moving. Plans run $11.99, $23.99 and $99 a user a month, with a 14-day free trial on Basic and Professional. See customer price lists and the WhatsApp page.

2

Zoho CRM

Sales CRM
Paid plans, a month$14 – $52 per seat

Best for: Price-conscious traders who want quotes and WhatsApp

Zoho CRM is free for three users, and paid plans start at $14 a user a month, billed annually. Quotes, sales orders and price books arrive at $23, and WhatsApp works inside it. Zoho's wider suite of more than 50 apps is a plus if you want accounting from the same vendor.

Telegram isn't supported, sample tracking isn't built in at any tier, and there are no AI meeting summaries. Call recording comes through marketplace apps.

3

Dynamics 365

Enterprise suite
Paid plans, a month$65 – $150 per seat

Best for: Importers running Microsoft and a Dynamics ERP

Dynamics 365 Sales has quotes, price lists and sales orders from Professional at $65 a user a month, billed annually, and works inside Outlook and Teams. It suits a company standardised on Microsoft with IT staff to configure it.

Meeting recording starts at $105 and CRM autofill at $150. WhatsApp is an add-on, Telegram isn't supported, and there's no sample tracking.

4

Salesforce

Enterprise suite
Paid plans, a month$25 – $550 per seat

Best for: Larger trading groups with an admin team

Salesforce can model almost any process, and AppExchange covers most integrations, which matters when your ERP or logistics tool is unusual. Quotes, price lists and orders start on Pro Suite at $100 a user a month, billed annually.

Samples aren't modelled, so tracking them means a custom object. WhatsApp is an add-on, Telegram isn't supported, and call recording is a $50 add-on. Expect an admin or partner to set it up.

5

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Small teams that want a simple pipeline

Pipedrive is quick to learn, and Nova adds briefs, call recording and CRM updates on every plan from $14 a seat, billed annually. WhatsApp starts on Growth at $39 and there's no Telegram.

It has no samples, no price list per customer and no sales orders, and quotes wait for Premium at $59. For a trader, the price and order side stays in a spreadsheet.

6

HubSpot

Enterprise suite
Paid plans, a month$7 – $150 per seat

Best for: Companies that win overseas buyers through marketing

HubSpot has a free CRM, a $7 Starter plan billed annually and marketing tools few rivals match, which helps if inbound leads drive your exports. Quoting is an add-on in the separate Revenue Hub, and sales orders, samples and price lists aren't there.

WhatsApp is an add-on, Telegram isn't supported, and call recording starts at $90. Professional and Enterprise carry a $1,500 to $3,500 onboarding fee.

How we picked

We read each CRM's data in our comparison files and asked what a trading company does all week: answer a buyer on WhatsApp, send a sample, quote from that buyer's prices, and turn the yes into an order. Chat channels, price lists and the quote-to-order path carried the most weight.

Zoho CRM ranks second because it covers quotes, orders, price books and WhatsApp at a low price. Dynamics 365 and Salesforce come next because they have the full quote path but cost more and need setup. We did not compare currency handling, customs or shipping features, so verify those against your own needs.

How to set it up for a trading business

  1. Import your buyers from CSV or Excel, grouped by country or market.
  2. Set up a price list for each key buyer, and quote from it.
  3. Connect your WhatsApp Business number and your company's Telegram bot.
  4. Log every sample on the buyer's account, with a follow-up task.
  5. Record the video calls and let the summary update the deal.

How to choose

If your company runs on Microsoft and a Dynamics ERP, put Dynamics 365 on the shortlist. If you need a platform and have an admin, look at Salesforce. Frequently asked questions

What is the best CRM for an import and export company?

PromptLab, if buyers reach you on WhatsApp, Telegram and email and you quote from customer price lists, from $11.99 a user a month. It doesn't handle customs or shipping, so keep your logistics tools alongside it.

Does a CRM handle multiple currencies?

That varies by vendor, and we haven't compared it in this post. Test it in a trial with a real quote in each currency you use before you commit.

Can I use WhatsApp with my overseas buyers in a CRM?

Yes. PromptLab connects your WhatsApp Business number to a shared Inbox on every plan. Zoho CRM works with WhatsApp too, while HubSpot, Salesforce and Dynamics 365 treat it as an add-on and Pipedrive starts it at $39.

Does a trading company need a CRM if it has an ERP?

Usually yes. The ERP records what shipped. The CRM records the conversation, the sample, the quote and the follow-up that came before. PromptLab imports from CSV and Excel, and Acumatica brings in customers, contacts, leads and opportunities.

How much does an importer CRM cost for 10 users?

On PromptLab Basic, 10 users cost $119.90 a month billed monthly. Dynamics 365 Sales at its $65 entry price is $650 a month for 10 users, billed annually.
