What a manufacturer needs from a CRM

We ranked every CRM against five questions. Each one comes from how a factory sells.

  • Can it track samples? A sample sent for evaluation is a deal in waiting. Someone must know who has it, since when and what they said.
  • Can reps quote from customer price lists? Prices differ per buyer. A quote built from memory or a spreadsheet loses margin.
  • Does the quote become a sales order? Retyping an approved quote into an order is where mistakes creep in.
  • Does it capture the conversation? Buyers talk on calls, email, WhatsApp and Telegram. Spec details said in a meeting should reach the record without the rep typing them up.

The climb is the catch. Meeting recording starts on Enterprise at $105, and CRM autofill and MCP start on Premium at $150. There is no sample tracking, and the setup often needs a partner.

Salesforce Sales Cloud is the most configurable CRM here, with five editions from $25 to $550 a user a month, billed annually, and AppExchange for almost any integration. A large manufacturer with an admin team can model nearly any sales process on it, plant by plant.

Quotes, price lists and orders begin at Pro Suite, $100 a user. Call recording is a $50 add-on, and samples aren't modelled, so tracking them means building a custom object.

Zoho CRM is cheap to start with: free for three users, with paid plans from $14 a user a month, billed annually. Quotes, sales orders and price books start at $23, and Zoho's wider suite covers accounting and a help desk if you want them from the same vendor.

Samples aren't tracked at any tier, and call recording comes through marketplace telephony apps. It has no AI meeting summaries, so what a buyer said about a spec depends on the rep's notes.

monday CRM lets you shape boards and columns into whatever process you like, and its $12 Basic plan, billed annually, already includes quotes and invoices. If the rest of the company already works in monday.com, sales can sit beside it.

Sales orders, samples and customer price lists aren't there, so manufacturers rebuild them as extra boards. The AI notetaker, automations and email sync all start on Standard at $17.

The gaps sit around the deal: no samples, price lists or sales orders, and quotes wait for Premium at $59. A manufacturer ends up tracking the real work outside the CRM.

HubSpot pairs a free CRM with marketing tools few rivals match, and its Starter plan costs $7 a seat a month, billed annually. If your leads come from the website and trade content, its marketing side is hard to beat.

For a product sale, quoting sits in the separate Revenue Hub, and sales orders and price lists are missing. Call recording starts at $90, and Professional and Enterprise carry a $1,500 to $3,500 onboarding fee.

We scored each CRM on the five questions above, using only its own pricing and product pages as they stood on 30 September 2026. Our comparison page for each CRM lists those sources.

Samples were the deciding factor. None of the six competitors tracks them as a built-in record, and PromptLab does. After samples, we weighed quotes from price lists and sales orders, then the plan you need before meetings are recorded, then price.

We are PromptLab, so we rank ourselves first. We have tried to be fair to the others: Dynamics 365 and Salesforce can do more than we can in a very large, customised rollout, and HubSpot's marketing tools are real strengths.

How to choose

If your reps live in Microsoft 365 and your IT team wants one vendor, shortlist Dynamics 365, and budget for recording and AI on a higher edition. If you need a platform and have admins, look at Salesforce. If your priority is to quote, sample and reorder from the first week, start with PromptLab.
