CRM for electrical wholesalers
How electrical wholesale sells, from trade accounts and project quotes to price lists and repeat orders, and how to set up a CRM for contractors and counters.

An electrical wholesaler needs a CRM that knows the difference between a contractor who calls every morning and a project quote that takes three months to land. Both matter, and they are sold differently. The trade counter runs on speed and the right price, while projects run on lists, revisions and relationships.
In PromptLab, each contractor or installer is an account with its own price list, project quotes sit on deals, and sales orders show what was actually bought. The distributors page covers the quoting side.
How does an electrical wholesaler actually sell?
Three kinds of customer share the counter. Contractors and installers buy week after week for jobs in progress. Project and tender customers need a quote against a bill of materials. Industrial and maintenance customers buy to keep a site running.
Each wants something different. The contractor wants the right item, at their price, today. The project buyer wants a complete quote and a reliable delivery plan. The maintenance buyer wants a supplier that has the part when something fails.
A wholesaler with branches adds another layer: who owns the account, and which branch serves it. Without clear ownership, two reps can quote the same job at different prices.
Why are customer price lists the core of the business?
In electrical wholesale, nearly every trade customer has their own terms. A discount off list price by product group is common, and the same cable or breaker can have several prices on the same day. Getting this wrong costs margin or loses the customer.
The CRM should hold each account's price list and use it whenever a quote is made. When list prices move, a quote built from the customer's own price list stays consistent with what the counter will charge. The guide to customer price lists goes through how to organise them.
How do project quotes work?
A project quote starts with a bill of materials from the contractor or a consultant, often a long list. You price it line by line, flag items you cannot supply and suggest alternatives where the spec allows.
Then come revisions. Quantities change, a product is swapped, delivery dates move. Each version of the quote should be saved against the same deal, so the rep and the customer can see what changed. Keeping the quote on the deal avoids the common mess of three spreadsheets with similar names. The guide to writing a sales quote covers the structure.
What pipeline stages fit electrical wholesale?
| Stage | Entry condition |
|---|---|
| Enquiry | A contractor or buyer asked for a price or a project list |
| List received | The bill of materials is in |
| Quote sent | A priced quote is out, with delivery terms |
| Revisions | The customer changed quantities or products |
| Order | A purchase order or confirmed order is in |
| Delivery | Goods are delivered or collected |
| Repeat trade | The customer is ordering regularly |
Not every sale needs the whole table. A counter customer skips most of it, so let those deals move straight to the order stage and keep the full run of stages for projects.
What must the CRM track?
- Trade accounts, with the contractor, the branch that serves them and the owner.
- Customer price lists, with the discount structure for each account.
- Project quotes, with revisions saved against the same deal.
- Sales orders, so you can see what an account buys and when it slows.
- Contacts by role: owner, estimator, site buyer, accounts.
- Documents, such as datasheets and certificates the customer asked for, attached to the account.

How do you set this up in PromptLab?
- 1
Set up the stages
Add the stages above to your pipeline. Trade deals can move straight to the order stage, and a deal field for trade or project lets you save a view for each.
- 2
Load price lists first
Import your contractor accounts from CSV or Excel, or pick a file from Google Drive. Then set up price lists for your top accounts first, so their quotes come out right from the first day, and add the rest later.
- 3
Quote from the customer's list
Create each quote from the account's price list and keep revisions on the same deal. The quote's margin on each line is visible while you build it.
- 4
Turn wins into sales orders
Log each order as a sales order on the account, so you can see what each account really buys. A drop in an account's orders is a prompt for a call.
- 5
Add a task when a quote goes quiet
Use workflow automation to create a task when a quote changes status or a deal changes stage. A quote that has been out for a week with no reply deserves a nudge.
- 6
Connect WhatsApp and email
Contractors often message from site. Connect your WhatsApp Business number and your mailbox in the Inbox so the whole team sees the conversation. The WhatsApp page explains how it works.

Zoho CRM is the cheapest way in: free for three users, then from $14 a user a month, billed annually, with quotes, sales orders and price books from $23. Its suite of more than 50 apps includes accounting, if you want that from the same vendor. Calls are recorded only through marketplace telephony apps, and Telegram isn't supported.
Dynamics 365 Sales has quotes, price lists and orders on every plan from $65 a user a month, billed annually, and pairs naturally with a Dynamics ERP. Meeting recording waits for Enterprise at $105, and setup often involves a Microsoft partner. Salesforce can model almost any branch structure and sales process, but quotes and price lists start on Pro Suite at $100 a user a month, billed annually, and the build usually takes an admin or a partner. The Dynamics 365 Sales comparison goes through it line by line.
