The short answer

PandaDocPaid from $19/seat

Choose it if you need e-signatures, and ideally payments while signing.

PromptLabIn the CRM from $11.99/seat

Choose it if you want quotes built from your product price lists, with a discount on each line.

PandaDoc is a document tool: you build a proposal, quote or contract, send it, and the client signs it, and on Business can pay. PromptLab is a CRM for B2B teams that sell products, with quotes built in. So the real choice is a separate document tool beside your CRM, or the quote inside the CRM.

Below, the two are compared on price, templates, pricing tables, e-signatures, tracking, payments, sales orders and CRM links. We make PromptLab, so every figure comes from PandaDoc's own pricing and product pages and PromptLab's pricing page, and we say where PandaDoc is stronger. Prices are per user a month, PandaDoc billed annually and PromptLab billed monthly, unless we say otherwise.

Pricing: $19 to $49 against $11.99 to $99

PandaDoc has a free plan of 5 documents a month, then Starter at $19 and Business at $49 a seat, with Enterprise by quote and a 14-day trial. PromptLab has no free plan but a 14-day trial, and runs from Basic at $11.99 to Business at $99. Quotes are on Basic.

Billed yearly on both sides, PromptLab Basic is $99 a user, against $228 for PandaDoc Starter and $588 for Business, the plan with pricing tables and a product catalogue. PandaDoc's seat buys the document tool alone. PromptLab's buys the CRM: contacts, deals, inbox, sales orders and invoices.

Building the quote

PandaDoc has templates on its paid plans, up to 5 on Starter and unlimited on Business. Business at $49 adds pricing tables, a product catalogue, custom quotes and a content library, along with approval workflows and deal rooms.

PromptLab builds quotes from your products and price lists, with a discount on each line, from Basic. The customer gets a PDF and a link they can open. The status runs Draft, Pending, Approved. It has no quote templates and no tax lines, and the output is a quote, not a designed proposal document.

Signing, tracking and payments

This is where PandaDoc is the stronger of the two. It includes e-signatures from Starter, tracking and notifications even on its free plan, and payments on Business, where clients can pay while signing through Stripe, ACH, PayPal and other gateways.

PromptLab has no e-signatures, no payments and no view tracking. Where it goes further is after the yes: the approved quote becomes a sales order, with its invoice, on the same deal. PandaDoc's pricing page doesn't list sales orders.

Where PandaDoc is stronger

Anything that must be signed or paid online. PandaDoc covers proposals, quotes and contracts, with approval workflows, deal rooms and, in Enterprise, CPQ and notary. Its pricing tables, product catalogue and content library are built for designed proposals, which PromptLab doesn't make.

It also connects to other CRMs: HubSpot, Salesforce and Pipedrive from Business, though the Salesforce integration is a paid add-on. If your deals live in another CRM, that matters.

Which should you choose?

Choose PandaDoc if…

  • You need e-signatures, and ideally payments while signing.
  • You want a designed proposal with templates, a content library and approval workflows.
  • You already use HubSpot, Salesforce or Pipedrive and want documents linked to it.

Choose PromptLab if…

  • You want quotes built from your product price lists, with a discount on each line.
  • You want the quote, sales order and invoice on the same deal.
  • You do not need an e-signature on every quote and want one CRM bill.

Frequently asked questions

Is PromptLab a PandaDoc alternative?

For quotes, partly. PromptLab makes quotes from price lists and turns them into sales orders and invoices. It has no e-signatures, payments or view tracking, so it is not a swap if you rely on those.

Is PandaDoc cheaper than PromptLab?

PandaDoc starts at $19 a seat billed annually, with a free plan of 5 documents a month, and pricing tables and a product catalogue need Business at $49. PromptLab starts at $11.99 a user billed monthly. PandaDoc is the document tool alone, and PromptLab is the CRM.

Can PromptLab replace PandaDoc?

If your quotes only need to be sent as a PDF or link and approved, yes. If clients sign or pay on the document, no: PromptLab has neither.

Does PandaDoc work with a CRM?

Yes. It has embedded integrations with HubSpot, Salesforce and Pipedrive, from the Business plan at $49. The Salesforce integration is a paid add-on.

Is there a CRM that makes quotes and sales orders?

Yes. PromptLab builds quotes from your products and price lists, makes a PDF and a customer link, and keeps sales orders and invoices on the same deal, on every plan from $11.99 a user a month with a 14-day free trial.
