The cheapest CRM is rarely the one with the lowest number on the pricing page. A $7 seat is a good deal until the quote you need is an add-on and call recording starts at $90. So we ranked on two things: the entry price, and what a B2B team that sells products pays once it needs quotes, meeting recording and a bit of automation.

Some vendors do beat PromptLab at the very bottom. HubSpot has a free CRM and a $7 Starter plan, Zoho CRM and Attio are free for three users, and Close has a $9 Solo plan. If you only need a contact list, start there. PromptLab has no free plan. Its Basic plan is $11.99 a user a month, or $99 a year, with a 14-day free trial.

The case for PromptLab is what that price includes. Prices below are each vendor's published figures, checked on 30 September 2026 (2 October for GoHighLevel) and billed as the vendor states.

What an affordable CRM needs to include

  • A clear seat price. No onboarding fee, usage bill or add-on to find later.
  • Quotes. If you sell products, a quote tool is not optional.
  • Meeting notes. Writing up calls costs rep time, which is the biggest cost of all.
  • Room to grow. The next plan up shouldn't double the price for one feature.

Where cheap plans get expensive

Three patterns show up again and again. The first is the feature cliff: a plan that looks right on the pricing page lacks the one thing you need, so you move up a tier and the per-seat price jumps. Call recording is the usual example: Attio's $35 plan becomes its $79 Pro plan, and HubSpot's $7 Starter becomes $90 Sales Hub Professional.

The second is the add-on. WhatsApp and quoting are separate charges at several vendors, and GoHighLevel bills calls, messages and AI by usage on top of $97 to $497 a month per account.

The third is the one-off fee. HubSpot lists $1,500 to $3,500 for onboarding on its upper plans, which is a real cost for a ten-person team.

Ask each vendor what your whole workflow costs, not what the first plan costs. Then compare that figure with PromptLab's $11.99 for the plan that already has it.

We took each vendor's cheapest paid plan, then added up where quotes and recording start. We kept the free plans in view, because they matter for very small teams, and ranked them fairly. Vendors whose pricing is only by quote after a demo, like Proton.ai, couldn't be compared, so they're not listed.
