The best workflow is the one nobody has to remember. A quote is accepted, and a task to book the delivery appears. A deal moves to a new stage, and the team hears about it in Slack. Without that, the next step depends on a rep noticing a status change, and the busy week is when they won't.

So a CRM with workflow automation has two questions to answer. What can it react to, and which plan do you need? Several vendors put workflows a tier or two above their entry price. We compared seven CRMs, using each vendor's published plans checked on 30 September 2026. PromptLab is our own product and it ranks first, for reasons you can verify. The others have real strengths and we name them.

What to look for in a CRM with workflow automation

These are the criteria we used.

  • Included on the plan you will buy. A workflow engine on a $99 plan is no use to a team that can afford $12.
  • Triggers that match a product sale. A quote changing status or a deal changing stage matters more than a form being filled in.
  • Useful actions. Creating a task or posting to Slack covers most of the follow-up a rep forgets.
  • Quotes in the same system. Automation can only react to what the CRM stores. If quotes live elsewhere, so does the trigger.
  • Set up by the sales team. If every workflow needs an admin, it won't get built.

The best CRMs with workflow automation

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Product sellers who want automation on every plan

Workflow automation comes on every plan, from Basic at $11.99 a user a month. A typical workflow reads: when a quote changes status or a deal changes stage, create a task or post to Slack. Because quotes, sales orders and customer price lists live in the same CRM, the quote status is something a workflow can react to.

Nothing here is an add-on and there is no onboarding fee. The same plan records meetings and drafts the follow-up email with AI. See quotes and samples in PromptLab and the sales automation page.

2

Attio

AI-native CRM
Paid plans, a month$35 – $79 per seat

Best for: Teams that want to design their own workflows and data

Attio is one of the best-designed of the newer CRMs. You define every object, attribute and workflow, and up to three seats are free. Plans run from $35 to $79 a seat, billed annually.

The flexibility has a cost for a product sale. Quotes, price lists and orders are left for you to build, and call recording waits for the Pro plan at $79.

3

HubSpot

Enterprise suite
Paid plans, a month$7 – $150 per seat

Best for: Marketing-led teams that can add a hub

HubSpot includes workflows, and its automation is one reason teams choose the suite. There is a free CRM, and a Starter plan from $7 a seat, billed annually.

For a product sale, quoting is an add-on in the separate Revenue Hub, and sales orders and price lists aren't there. Professional and Enterprise carry a $1,500 to $3,500 onboarding fee.

4

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Small teams that want a simple pipeline

Pipedrive is easy to learn, and workflow automation starts on Growth at $39 a seat, billed annually. On the $14 Lite plan, each follow-up is set up by hand.

Quotes wait for Premium at $59. There are no price lists or sales orders, so a workflow has no quote status to react to until then.

5

monday CRM

Sales CRM
Paid plans, a month$12 – $28 per seat

Best for: Teams that want flexible boards and automations

monday CRM starts at $12 for Basic, billed annually, and automations arrive on Standard at $17. It is the friendliest way to build a CRM from boards and columns, and quotes are included from the first plan.

Sales orders, sample tracking and customer price lists aren't there, so teams add boards or spreadsheets for the order side.

6

Copper

Sales CRM
Paid plans, a month$23 – $99 per seat

Best for: Google Workspace teams that live in Gmail

Copper is the CRM for Google Workspace teams, running inside Gmail and Calendar. Workflow automation starts on Professional at $59 a seat, billed annually, and plans run from $23 to $99.

Quotes need a marketplace app, and there are no sales orders or sample tracking. Basic stops at 2,500 contacts.

7

Close

Sales CRM
Paid plans, a month$9 – $139 per seat

Best for: Calling-first teams with a phone-heavy process

Close is a calling-first CRM, with the dialer, email and SMS built in, and Chloe, its AI teammate, summarising calls on every plan. Workflows sit on the Growth plan at $99 a seat, billed annually, and pipelines start at $35.

Quotes, samples and price lists aren't part of it. Its $9 Solo plan has no pipeline.

How we picked

We read each vendor's plan page for the cheapest plan with workflows, then asked whether the product sale was in the same system: quotes, orders and price lists. Automation that cannot see the quote cannot react to it.

The CRMs with workflows on their first plan ranked first. Then those with workflows a tier up, then those at the top of the range. We gave extra weight to products where the quote and the order sit in the CRM, because that is where a product team's follow-up is.

What workflows cost for 10 users

Take a team of ten reps and the cheapest plan that includes workflows. These figures multiply the listed seat price by ten, with each vendor's billing note.

PromptLab's Basic plan is $11.99 a month or $99 a year. Professional is $23.99 a month or $199 a year, and Business is $99 a month or $948 a year. Basic and Professional come with a 14-day free trial, with no card needed.

Workflows worth building first

Whichever CRM you pick, start with a few that remove a forgotten step.

  • A quote moves to sent, and a task to follow up is created for the owner.
  • A deal changes stage, and the team channel in Slack hears about it.
  • A quote is accepted, and a task to confirm the order is created.
