A cosmetic ingredients supplier needs a CRM that ties a sample to a formulator, a formulator to a trial and a trial to a launch. The buyer is a brand or a contract manufacturer with a product in development, and your ingredient is one line in a formula that must work, feel right and pass the brand's own checks.

In PromptLab, the sample, the technical documents and the first order sit on one account: samples in sample tracking, data sheets as documents, and quotes from the customer's price list. The chemicals page shows how the quoting side works for ingredient sellers.

How does a cosmetic ingredient sale actually work?

The first contact is usually a formulator or an R&D chemist. They are building or reworking a product, such as a serum, a cleanser or a sun cream, and they need an emulsifier, an active, a preservative, a pigment or a fragrance component that does a specific job.

You send a sample with a technical data sheet. The formulator tries it in a lab batch, and checks texture, stability and how it behaves with the other ingredients. If it works, the brand's regulatory and quality people ask for documents. Marketing may also have a view, because an ingredient can matter to the story on the pack.

Procurement comes last. By then the ingredient is written into a formula, so the deal is about price, pack size and supply rather than whether to use you at all.

What documents does the buyer ask for?

The usual pack is a technical data sheet, a safety data sheet and a specification. Brands and their contract manufacturers often ask for more: origin statements, certificates and any claims documents you hold. What each customer needs depends on their market and their own rules, so keep the list per account rather than assuming one pack fits everyone.

Versions matter. A data sheet gets revised, and an old copy sitting in a formulator's folder causes confusion later. The CRM should keep the current pack on the account, with a note of what you sent and when, so a revision can be followed by a message to everyone who holds the old one.

Why do trials and reformulations take so long?

A formulator rarely has one project. A sample may sit for weeks while they finish another job, and the brief may change halfway. Stability testing then adds time, because a formula has to behave over a period before the brand is happy.

For the rep this means long gaps between real news. The risk is not a refusal but silence. A task on the deal, set for a sensible date after the sample, keeps the follow-up from slipping. The sample follow-up templates cover what to say.

What pipeline stages fit cosmetic ingredient sales?

StageEntry condition
BriefA formulator described the product and the job for the ingredient
Sample sentA sample and data sheet are logged with a date
Lab trialThe formulator confirmed they are testing
Stability and feedbackThe ingredient is in a formula under test
Documents and approvalBrand quality or regulatory questions are open
Price and volumeA quote is out, with pack sizes and a forecast
Launch orderThe first order is placed for the product launch
Repeat supplyOrders follow the brand's production runs

Contract manufacturers add a twist. They often buy on behalf of several brands, so one account can sit behind many products. Note which brand a project belongs to, so a reorder is not confused with a new launch.

What must a cosmetic ingredients CRM track?

  • Samples, with product, grade, lot, quantity, date and the formulator's feedback.
  • Documents, such as data sheets, safety data sheets and specifications, with the version and the date sent.
  • Contacts by function: formulator, quality or regulatory, procurement, and the brand owner if you know them.
  • The end product, as a field, so you know what your ingredient goes into.
  • Customer price lists by pack size, such as 1 kg, 5 kg and 25 kg.
  • Quotes and sales orders, so the launch order is visible next to the sample that started it.

How do you set this up in PromptLab?

  1. 1

    Build the eight-stage pipeline

Use the stages above. The "Stability and feedback" stage is the long one, so give it a task for a check-in date rather than waiting for news.

  2. 2

Log every sample with its lot

Record the product, quantity and contact with sample tracking, and note the lot, so the feedback traces back to the batch tested. The guide to tracking samples goes through the routine.

  3. 3

    Keep documents on the account

Upload the data sheet, safety data sheet and specification as documents on the account and the deal. Add a note on the account whenever you send a revised version.

  4. 4

    Add contacts by function

Add the formulator, the quality contact and the buyer as separate contacts. A short note on what each one checks saves the next rep a call.

  5. 5

    Price by pack size

Put your pack sizes on the customer's price list, so a quote for 5 kg and a quote for 25 kg come from the same source. The guide to customer price lists covers it.

  6. 6

    Capture the calls and messages

Record the trial review in Google Meet, Zoom or Microsoft Teams, and let the summary attach to the account. Connect WhatsApp and Telegram in the Inbox for the quick questions from buyers abroad.

monday CRM's boards are flexible enough to run a formulator request queue, and its $12 Basic plan, billed annually, includes quotes and invoices. Sales orders, sample tracking and customer price lists aren't there, so the sample and the data sheet would sit on extra boards you build and maintain.

Pipedrive's Nova assistant records the trial reviews on every plan from $14 a seat a month, billed annually, but it has no samples or price lists, and quotes wait for Premium at $59. Salesforce can model a full sample and approval process for a large ingredients group, given an admin or a partner to build it. Its quotes and price lists start on Pro Suite at $100 a user a month, billed annually. The Salesforce comparison goes through it line by line.

Frequently asked questions

What is the best CRM for a cosmetic ingredients supplier?

One that tracks samples, documents, price lists and orders together. PromptLab does, from $11.99 per user per month, and it records the meetings where trials and approvals are discussed.

Can a CRM store technical data sheets and safety data sheets?

Yes. PromptLab includes documents on every plan, attached to accounts and deals. Note the version and the date you sent it, and set a task to send revisions to the accounts that hold the old copy.

How do I follow up a sample when the formulator goes quiet?

Set a task on the deal when you log the sample, with a date a few weeks out, and use a short message that asks one question about the trial. See the sample follow-up templates.

Can I track samples in a CRM?

Yes. PromptLab's sample tracking records each sample's status and feedback, and links it to the deal. See what is sample management.

Does PromptLab work for overseas brands?

Meeting transcripts cover 100+ languages, and the Inbox takes WhatsApp and Telegram, which many international buyers use. Telegram works through your company's own bot, which the buyer messages first.
