In product sales, the sample is where the deal is won or quietly lost. A buyer receives a tin, a bag or a roll, tests it when they have time, and often says nothing. Your follow-up is what turns a parcel on a shelf into trial results, and trial results into a quote.

When the sample ships
Subject: Your [Product] sample is on its way
Hi [First name], Your sample of [Product], [Size] in [Packaging], left our warehouse today with [Courier]. Tracking number: [Number]. It should arrive by [Date]. I've attached the [TDS or SDS]. For your trial, we suggest [Short handling or dosage tip]. If anything is unclear before you start, call me on [Phone]. [Your name]
Use it the day the parcel leaves. Include handling notes so the trial starts right.
Subject: Update on your [Product] sample
Hi [First name], A short update: your sample has been held up by [Reason, for example a customs hold or a batch release]. The new arrival date is [Date]. Sorry for the wait. If your trial date has moved, let me know and I'll plan around it. [Your name]
Use it as soon as you know. Silence is worse than bad news.
When the sample arrives
Subject: Did the [Product] sample arrive in good condition?
Hi [First name], The courier shows your [Product] sample as delivered on [Date]. Could you confirm it arrived intact, with the label and batch number [Batch number] readable? When do you plan to start the trial? I'll check back then. [Your name]
Use it two working days after delivery. The answer gives you the trial start date.
Subject: Setting up your [Product] trial
Hi [First name], If it's useful, I can join your first trial run by phone or send a one-page guide for [Process]. First trials often go wrong on [Common issue, for example mixing order or storage temperature], and that's easy to avoid. Would you like me to set that up? [Your name]
Use it when the buyer is new to your product or the application is technical.
Asking for feedback
Subject: How did the [Product] trial go?
Hi [First name], It's been two weeks since your sample arrived, so I wanted to ask how the trial is going. Three short questions: 1. Have you run it yet? If not, what's holding it up? 2. How did it perform on [Key property]? 3. What would you need to see before a larger order? A line or two is enough. [Your name]
Use it two weeks after delivery, or sooner if the trial was short.
Subject: Lab results for [Product], batch [Batch number]
Hi [First name], If your lab has finished testing batch [Batch number], could you share the results, even partial ones? I'm most interested in [Property 1] and [Property 2]. If a value falls outside your spec, tell me which one. Our technical team can often suggest an adjustment. [Your name]
Use it when the buyer has a QC lab and a written spec.
After the trial
Subject: Next step after your [Product] trial
Hi [First name], Good to hear the trial met your requirements. The next step is a quote, and to prepare it I need your expected yearly volume, the pack size and the delivery address. With those, I'll send a quote within [Time], with price breaks so you can see how volume changes the price. [Your name]

Subject: Re: [Product] trial results
Hi [First name], Thanks for sharing the results. [Property] came in at [Value] against your target of [Target], so I understand it doesn't work as it stands. I'd like to send a second sample of [Alternative grade or adjusted formulation], which is aimed at exactly that point. Shall I ship it to the same address? [Your name]
Use it after a failed trial. A second, better-matched sample can still save the deal.
Subject: Should I close your [Product] sample request?
Hi [First name], I sent you a sample of [Product] on [Date] and haven't heard how it went. I don't want to keep chasing, so I'll close the request on my side unless you tell me otherwise. If the trial is still planned, tell me when and I'll check back then. [Your name]
Use it as a last attempt. Then log the outcome and the reason.
How to personalise them
Samples are personal by nature, so lean on the detail.
- Mention the batch and size. "The 5 kg pail from batch [Number]" shows you tracked it.
- Refer to their process. A buyer testing a coating on steel wants different advice from one testing it on wood.
- Ask one question per email. The feedback request is the only exception.

When should I follow up after sending a sample?
Send a shipping email the day it leaves, a delivery check two days after it arrives and a feedback request after one to two weeks. Adjust for the length of the buyer's trial.
What do I say if the buyer never replies about the sample?
Make it easy to answer. Ask one short question, offer help with the trial, and give a date after which you will close the request. A clear deadline often brings the reply.
Who should send the sample follow-up emails?
The rep who owns the account, even when the lab or the warehouse ships the parcel. The buyer should hear from one person from request to result.
How do I turn a successful sample into an order?
