An HVAC distributor needs a CRM that handles two very different days: the summer rush, when contractors need equipment now, and the quieter months, when project quotes and planning decide next season. It has to keep contractor pricing straight, hold project quotes through revisions and show which accounts have slowed down.

In PromptLab, each contractor is an account with its own price list, project quotes sit on deals, and sales orders show what was bought. The distributors page covers the quoting side.

How does an HVAC distributor actually sell?

Most customers are contractors and installers who buy equipment, parts and controls for jobs. Some are small firms with a handful of vans, others run large commercial installation teams. A third group buys for maintenance contracts or for property owners.

The business comes in through several doors at once:

  • The trade counter, where a contractor with a van outside needs a part today.
  • Phone, email and WhatsApp, often from site, with a model number or a photo.
  • Project quotes, where a contractor needs equipment priced for a building job.
  • Outside reps who visit contractors and agree terms.
  • Manufacturers' lines you stock, where the brand relationship also matters.

The counter rewards speed and the right price. Projects reward a complete, accurate quote and a reliable delivery plan. A CRM has to serve both.

Why does seasonality shape the sales year?

Demand moves with the weather. Heating and cooling both have peaks, and when one arrives, contractors want stock immediately. In the quiet weeks before it, they are open to a conversation about next season, new lines or better terms.

That makes timing the main skill. A rep who calls a contractor account just before its busy period, with an offer built from what it bought last year, has a real advantage. A rep who only calls during the rush spends the day taking orders and misses the planning.

Use the quiet period for account reviews. Look at what each contractor bought, what it stopped buying and who has gone silent. PromptLab flags accounts with no recent engagement, which is a useful starting list. The guide to reactivating dormant accounts goes through the approach.

How do contractor pricing and project quotes work?

Contractors rarely pay list price. Terms often depend on the account, the volume and the product group, and the same item can carry different prices for different customers on the same day.

Hold each contractor's terms on its own price list and build quotes from it. A quote linked to a customer's price list takes that list's prices, so the counter and the outside rep are quoting the same number. See how to manage customer-specific price lists.

A project quote starts with a schedule of equipment from the contractor or the consultant. You price it, note substitutions where the spec allows, then revise as the design changes. Keep every version on the same deal with a clear status. The guide to writing a sales quote shows a structure to follow.

What pipeline stages fit HVAC distribution?

StageEntry condition
EnquiryA contractor asked for a price or sent a schedule
Quote sentA priced quote is out, with delivery terms
RevisionsQuantities or models changed
OrderA purchase order or confirmed order is in
DeliveredGoods are delivered or collected
Repeat tradeThe contractor is ordering regularly

Counter sales skip most of this. Let those deals go straight to the order stage and save the full run for projects. For a pipeline overview, see how to build a B2B sales pipeline.

What must the CRM track?

  • Contractor accounts, with the branch that serves them and the owner.
  • Customer price lists, one per account.
  • Project quotes with revisions saved against the same deal.
  • Sales orders, so you can compare this season with the last.
  • Contacts by role: owner, estimator, service manager, accounts.
  • Documents, such as datasheets and certificates, on the account.
  • Conversations across email, WhatsApp and Telegram.

How do you set this up in PromptLab?

  1. 1

    Import your contractor accounts

Bring in accounts and contacts from CSV or Excel, or pick a file from Google Drive. If part of the team uses Salesforce or HubSpot, the two-way sync lets you run both while you switch.

  2. 2

    Build the pipeline

Create the stages above and give every account an owner. Decide who handles counter customers and who handles projects.

  3. 3

Set up price lists for your top contractors

Start with the accounts that buy most and add the rest later. Quotes made from the list pick up its prices.

  4. 4

Quote the project and keep revisions on the deal

Send each version, update its status, and when the contractor confirms, create the sales order with the quote's lines.

  5. 5

    Chase quiet quotes automatically

Use workflow automation to create a task or post to Slack when a quote changes status or a deal changes stage. A quote that went out before the busy period and then fell silent gets a nudge.

  6. 6

Put WhatsApp and email in one Inbox

Contractors message from site. Connect your WhatsApp Business number and your mailbox so any rep can see the thread. The WhatsApp page explains how it works.

Zoho CRM is the value pick: free for three users, then paid plans from $14 a user a month, billed annually, with quotes, sales orders and price books from $23. Samples aren't modelled, and Telegram isn't supported. Pipedrive is one of the easiest sales CRMs to learn, from $14 a seat billed annually, but it has no price lists or sales orders, and quotes wait for Premium at $59.

HubSpot is a polished all-in-one suite with a free CRM and Starter from $7 a seat a month, billed annually. For a team selling products, quoting sits in the separate Revenue Hub, sales orders and price lists are missing, and Professional or Enterprise adds a $1,500 to $3,500 onboarding fee. The Pipedrive comparison goes through it line by line.

Frequently asked questions

What is the best CRM for an HVAC distributor?

One that handles contractor price lists, project quotes and sales orders together. PromptLab does, from $11.99 per user a month, with all three on every plan.

Can a CRM hold a different price for each contractor?

Yes. PromptLab has customer price lists on every plan, and a quote linked to a customer's price list takes that list's prices.

How do I plan for seasonal demand in a CRM?

Use the quiet weeks to review accounts: what each contractor bought last season, who has slowed and who has gone silent. Book calls before the peak, not during it.

Can reps use WhatsApp with contractors?

Yes. The Inbox takes WhatsApp through your WhatsApp Business number, and Telegram through your company's own bot, alongside email.

Does PromptLab check stock?

No. It does not connect to stock systems, apart from the Acumatica sync of customers, contacts, leads and opportunities. Keep stock and availability in your ERP or warehouse system.
