A pigment or dye manufacturer needs a CRM that keeps shade requests, drawdowns, trial results and distributor accounts on the account record, not in a lab notebook. The sale rarely turns on price per kilo alone. It turns on whether your product matches the shade, disperses in the customer's system and stays consistent from batch to batch.

In PromptLab, trial samples go in as sample records with feedback, each customer gets a price list, and the route from first enquiry to repeat supply runs in one pipeline whose stages you configure. The wider factory view is on the manufacturers page.

How does a pigment and dye sale actually work?

Pigment and dye makers sell to formulators and converters: paint and coatings makers, plastics compounders, ink producers, textile processors and paper mills. Many also sell through distributors that hold stock and serve smaller buyers.

A technical rep or applications chemist starts with the customer's system. What is the binder or the polymer? What process temperature? Which fastness properties matter? The answer shapes which product to propose.

The customer then tests it in their own formulation. A small buyer might do this in a day. A large converter may run it through a formal approval, with a quality contact checking every batch of the first deliveries against a reference.

What are shade matches, drawdowns and approvals?

A shade match is a request to hit a colour target. A drawdown is a small test coating or print made to compare colour. A trial is your product in the customer's real process. An approval is the customer's written yes, which is what makes repeat orders possible.

Each has a reference, a date and a verdict. A customer who says "slightly redder, and a bit more strength" has given you the next step. If that comment lives in a lab notebook, the next person to talk to the customer repeats the question.

Batch consistency matters here. A customer who approved one batch expects the next to look the same, so a complaint about shade drift needs to reach the right rep and the right technician fast, with the original approval to hand.

What pipeline stages fit pigments and dyes?

One pipeline can carry the whole route. Rename the stages to match your own process.

StageEntry condition
EnquiryA customer has described their system and a colour target
Samples sentA sample is logged with a ship date
Customer trialThe customer is testing it in their own process
ApprovedThe product is approved in writing
Quote sentA quote from the account's price list is out
First orderA sales order is created for the approved quote
Repeat supplyReorders are expected on a rhythm

Distributor deals use the same stages with different meanings: a range review with samples and a price list, then terms, then a first stocking order.

What must the CRM track for pigments and dyes?

  • Shade and trial requests, each with a reference, the system tested, a ship date and the customer's verdict.
  • Approvals, with the approving contact and the date, so a later complaint can be checked against what was signed off.
  • Documents per account. Customers ask for technical data sheets and safety data sheets. Keep the current versions on the account. What is a technical data sheet explains what buyers look for.
  • Price lists per customer. A distributor, a large converter and a small formulator pay different prices for the same product, and pack sizes change the line.
  • Distributor accounts and their buyers, so an end-user query reaches the right rep.
  • Reorder rhythm, so a quiet account is noticed before it switches supplier.

How do you set this up in PromptLab?

  1. 1

    Configure the pipeline stages

Set the stages above on your pipeline. Each enquiry becomes a deal on the customer's account, so the full history from first enquiry to latest reorder sits in one place.

  2. 2

Treat drawdowns and trial lots as samples

Log each drawdown or trial lot as a sample on the account, with the product, the contact and the shade reference. Record the customer's verdict as feedback. How to track product samples covers the routine.

  3. 3

Build price lists for each customer type

Create customer price lists for distributors and key accounts, by product and pack size. A quote linked to the list takes its prices, and the margin shows on each line.

  4. 4

Store approvals and data sheets on the account

Upload the signed approval and the current data sheets to the account's files. Anyone opening the account sees at once what was approved and when.

  5. 5

    Pull in the chats

Technicians and distributors often prefer WhatsApp or Telegram to email. Connect your WhatsApp Business number and your company Telegram bot, and those conversations land in the shared Inbox on the right contact.

  6. 6

    Record the review calls

Record trial review calls on Google Meet, Zoom or Microsoft Teams. PromptLab writes a summary and a follow-up draft, and a task can be created from the meeting, so the next step has an owner.

Pipedrive has a pipeline a technical rep picks up quickly, with Nova recording calls on every plan from $14 a seat a month, billed annually. It has no samples and no price lists, and quotes wait for Premium at $59. Zoho CRM has quotes, sales orders and price books from $23 a user a month, billed annually, but it doesn't model samples at any tier.

Close suits a rep who lives on the phone, with a built-in dialer and Chloe summarising calls. It keeps no quotes, samples or price lists, and pipelines start at $35 a seat, billed annually. See how Pipedrive and Close compare in detail.

Frequently asked questions

What should a CRM for a pigment manufacturer include?

It should hold samples or trial lots, quotes, customer price lists, sales orders and the approvals and documents for each account. PromptLab includes these on every plan, from $11.99 per user per month.

Can I track shade matching requests in a CRM?

Yes. Treat each request like a sample: a reference, a ship date, a status and the customer's feedback. Each round is its own record, so you can see how many rounds a customer has needed.

How do I manage distributor pricing for pigments?

Keep a price list per distributor and quote from it. What is a customer price list explains how they work, and in PromptLab a quote linked to a list takes that list's prices.

How do I stop repeat customers drifting to another supplier?

Watch the reorder rhythm on each account. PromptLab flags accounts with no recent engagement, and how to increase repeat orders covers the follow-up routine.

Is there a free trial?

Basic and Professional come with a 14-day free trial, with no card needed. There is no free plan. Business is $99 per user a month, or $948 a year.
