Fathom is a dedicated AI note-taker whose Free plan records and transcribes calls without limit. PromptLab is a CRM for B2B teams that sell products, with meeting notes built in. So the real choice is a separate note-taker beside your CRM, or the notes inside the CRM.

Below, the two are compared on pricing, the free plan, languages and recording, follow-ups and Ask AI, and what happens to the notes after the call. We make PromptLab, so every figure comes from Fathom's own pricing and product pages and PromptLab's pricing page, and we say where Fathom is stronger. Prices are per user a month, Fathom billed annually and PromptLab billed monthly, unless we say otherwise.

Pricing: $15 to $25 against $11.99 to $99

Fathom's paid plans are Team at $15 a user a month and Business at $25, both with a minimum of 2 users, plus Premium for individuals at $16 and a quoted Enterprise plan. PromptLab's plans are Basic at $11.99, Professional at $23.99 and Business at $99, billed monthly, and meeting notes are on Basic.

What the prices buy differs. Fathom's plan is the note-taker alone. PromptLab's is the whole CRM: contacts, accounts, a deal pipeline, quotes, a shared inbox and more, with the notes included. A team that also pays for a CRM pays for both Fathom and that CRM.

The free plan, and the trial

This is Fathom's clearest advantage. Its Free plan has unlimited recordings and transcription, instant AI summaries, and search across calls. Premium, Team and Business can each be started as a free trial, and every plan carries a 90-day guarantee.

PromptLab has no free plan. Basic and Professional come with a 14-day free trial. If you only need notes and your budget is zero, Fathom wins.

Languages, recording and Ask AI

Fathom supports transcripts in 38 languages; PromptLab transcribes in more than 30. Both join Zoom, Google Meet and Microsoft Teams calls with a bot. Fathom also offers bot-free capture as a beta feature for Mac; PromptLab has no bot-free recorder.

PromptLab's Ask AI can search across meeting transcripts. Fathom's account-wide Ask Fathom, for questions across all calls, is a beta feature.

Follow-ups and CRM sync

After a call, PromptLab gives a summary, creates the action items as CRM tasks on the deal and its contacts, and drafts a follow-up email. Fathom's action items and follow-up emails start on Premium.

Fathom works with HubSpot and Salesforce. It limits CRM syncs to 3 users per domain on Free, Premium and Team, and syncing summaries to HubSpot deal fields is for Business and Enterprise only. In PromptLab the notes already sit on the deal, so there is nothing to sync. It does not fill CRM fields after every meeting on its own; autofill is something you run.

Where Fathom is stronger

Fathom has a free plan that records without limit, which PromptLab doesn't, and a beta bot-free option on Mac. Its Business plan, at $25, adds CRM field sync, Deal View, coaching metrics and AI scorecards.

It also works with a CRM you already have. If your team is committed to HubSpot or Salesforce, Fathom adds notes to it without asking you to move.

Which should you choose?

Choose Fathom if…

  • You want a free plan with unlimited recordings and transcription.
  • You already use HubSpot or Salesforce and want Fathom's CRM field sync on Business.
  • You want coaching metrics and AI scorecards on your calls.

Choose PromptLab if…

  • You want meeting notes on the deal and contact they belong to, with no sync to set up.
  • You want action items to become CRM tasks without copying them over.
  • You'd rather pay for one CRM, from $11.99 a user a month, than a CRM and a note-taker.

Frequently asked questions

Is PromptLab a Fathom alternative?

For meeting notes, yes: PromptLab's bot records Zoom, Google Meet and Teams calls, transcribes them and writes summaries and action items. It is a CRM first, though, so it suits teams who want notes inside their CRM rather than a note-taker on its own.

Is Fathom cheaper than PromptLab?

Fathom's Free plan costs nothing and records without limit. Its paid plans run from $15 to $25 a user a month, billed annually, against PromptLab from $11.99 billed monthly, and PromptLab's price buys a whole CRM, not only the notes.

Can PromptLab replace Fathom?

If you need a recorder, transcripts, summaries and follow-ups tied to your deals, yes. If you rely on Fathom's free plan or its bot-free capture on Mac, no: PromptLab has neither.

Does Fathom work with a CRM?

Yes, with HubSpot and Salesforce. CRM syncs are limited to 3 users per domain on Free, Premium and Team, and syncing to HubSpot deal fields needs Business or Enterprise.

Is there a CRM with an AI note-taker built in?

Yes. PromptLab records Zoom, Google Meet and Teams calls, transcribes them in more than 30 languages, summarises them and turns action items into CRM tasks, on every plan from $11.99 a user a month with a 14-day free trial.
