How to migrate from Dynamics 365 Sales to PromptLab

Why do product sales teams move from Dynamics 365 Sales?

It's the natural CRM for a Microsoft company. Quotes, price lists and orders are built in from Professional at $65 a user a month billed annually, and it works inside Outlook and Teams. For a company on a Dynamics ERP with IT staff to configure it, that fit is a real strength.

The climb is the problem. Meeting recording starts on Enterprise at $105. CRM autofill and its Sales MCP server need Premium at $150. There's no sample tracking either. WhatsApp and LinkedIn tools are add-ons, and Telegram isn't supported. Set-up gives an admin a lot to decide: environments, security roles, apps, licences and Copilot credits.

PromptLab doesn't integrate with Dynamics, so any data flow between Dynamics and another system needs its own plan.

Step 1: export views to Excel

In Dynamics 365 Sales, open the Active Accounts, Contacts or Opportunities view and select Export to Excel on the command bar. Do the same for quotes and orders.

If a view is filtered, check that the filter matches what you mean to move, such as active records only. Then check the row count in the file against what the view shows.

Step 2: import into PromptLab

Click Import on the Accounts, Contacts or Deals list and upload the Excel file, or pick it from Google Drive. Work through accounts, then contacts, then opportunities.

Step 3: map the columns

Match each Dynamics column to the matching PromptLab field and run the import. Quotes, sales orders, tasks and notes come in the same way, from their own lists.

Where a column names another record, such as the account on an opportunity, check that the spelling matches the account you've already imported.

Step 4: ask for migration support

For a larger move, Enterprise includes data migration support and a dedicated account manager. Reps can keep working in Outlook and Teams throughout, since PromptLab captures Outlook email and records Teams meetings.

How to check the Dynamics import

Compare totals rather than single records: the number of open opportunities in Dynamics and their combined value should match the open deals in PromptLab. If the totals differ, look for filtered views or inactive records that were left out of the export. Then open a few accounts you know well and check their contacts, quotes and owner.

Leave your Dynamics licences running for a few weeks after go-live, so anyone can look something up while the team gets used to the new system.

Your first week in PromptLab

  • Day one: invite the team and connect Outlook or your mail server. Connect Microsoft Teams, Zoom or Google Meet for recording.
  • Day two: set up the first workflow, such as a task when a quote changes status.
  • Day three: connect your WhatsApp Business number and your company's Telegram bot, so buyer chats land in the shared Inbox.

How do I export from Dynamics 365 Sales?

Will reps lose Outlook and Teams?
