How to migrate from Pipedrive to PromptLab

Pipedrive to PromptLab is a file-based move. You export your data from Pipedrive as CSV or Excel, import it into PromptLab, map the columns, and then bring notes and activities across the same way.

This post walks through it for a team that sells products: why people move, what to prepare, each step, and the first week.

Why do product sales teams move from Pipedrive?

Pipedrive is one of the easiest sales CRMs to learn, and its pipeline view is one many reps already know. Its Nova AI adds pre-call briefs, call recording and CRM updates on every plan, from $14 a seat billed annually, and it has a marketplace of 500+ apps.

The gaps sit around the deal. There is no sample tracking, no customer price lists and no sales orders. Quotes wait for Premium at $59. WhatsApp and workflow automation start on Growth at $39, and there's no Telegram integration. On Lite, buyers who order by chat stay outside the CRM, and every follow-up is set up by hand.

Step 1: export deals and contacts

Open the account menu at the top right of Pipedrive and go to Tools and apps → Export data. Pick deals, people or organisations and download each as CSV or Excel.

Export everything in one sitting after the freeze, so the files match each other. Name them clearly, for example deals, people and organisations.

Step 2: export notes and activities

Pipedrive exports notes and activities separately from the records they belong to. Export them from the same page so each account's history comes with you.

Don't skip this. A deal without its notes loses the reasons it was won or stalled, and that context is what your reps will want when the customer calls.

Step 3: import into PromptLab

In PromptLab, click Import on the Accounts, Contacts or Deals list and upload the file, or pick it from Google Drive. Start with organisations, which become accounts, then people, then deals, so the accounts are in place before the contacts and deals that belong to them.

Step 4: map columns, then history

Match Pipedrive's fields to PromptLab's and run the import. Then import the notes, and your activities as tasks, the same way. Check one busy account end to end: its contacts, its deals, its notes and its open tasks.

What to add in your first week

You've kept the pipeline your reps know. Now add what Pipedrive didn't hold.

  • Samples. Log each sample request on the account and the deal. How to track product samples has the routine.
  • Price lists. Create a price list per key customer, so reps quote from agreed prices, not memory.
  • Quotes and orders. Send a quote from a price list, and raise the sales order when the customer says yes.
  • Channels. Connect Gmail or Outlook, your WhatsApp Business number and your company's Telegram bot. Chats appear in the shared Inbox beside email.
  • Workflows. Automations are on Basic: when a deal changes stage, create the next task.
