Conversation intelligence

Conversation intelligence is software that records sales meetings and calls, turns them into transcripts and picks out what matters: a summary, action items and details for the CRM.

Think of it as a note-taker that sits in every call and files the notes where your team can find them. Instead of a rep writing up a call from memory, the call writes itself up.

Why conversation intelligence matters

Sales calls hold the facts that decide a deal: the grade the buyer needs, the volume, the date they must have it by, the competitor they mention. Much of that never reaches the CRM, because typing it up is a chore.

Without it, a manager only hears what the rep chooses to say. A colleague who takes over an account starts from nothing. With it, everyone can read what the buyer really said.

How conversation intelligence works

  1. A bot or app records the meeting. It joins the call on a platform such as Google Meet, Zoom or Microsoft Teams.
  2. Speech is turned into a transcript. Good tools handle many languages, which matters if your buyers do not all speak yours.
  3. AI reads the transcript. It writes a summary and lists next steps.
  4. The results go to the CRM. Notes attach to the account and the deal, and some tools fill in fields from what was said.

An example from a coatings call

This example is made up.

A rep for a coatings manufacturer joins a Zoom call with a joinery firm. The buyer says they need a water-based primer, about 2,000 litres a month, delivered before the end of the month, and that they are also testing a rival product.

Afterwards the rep does not write a thing. The summary lists the product, the volume and the deadline. The action items say "send a sample of the primer" and "quote 2,000 litres". The rival product is noted on the account. A task for the sample is created and a follow-up email is drafted for the rep to check.

What to look for in a tool

  • Which platforms it records. Check that it covers the ones your buyers use.
  • Languages. Transcripts in the language the call was held in.
  • Where the output lands. A summary in a separate app gets forgotten. One on the deal gets read.
  • Follow-up. A draft email and tasks save the most time.
  • Price. Many tools charge separately from the CRM.
