TOP PICKSCRM for sample tracking#11PromptLabOUR PICK2Salesforce3Zoho CRM4Attio

A sample is the most expensive thing a product seller gives away for free. It costs stock, a courier bill and a rep's time. Then it disappears into a silence that nobody follows up, because the CRM only knows about the deal, not the jar of resin that went out three weeks ago.

Our pick is PromptLab. Sample tracking is a built-in record on every plan from $11.99 a user a month, and it sits on the same account as the quote, the price list and the buyer's WhatsApp thread. We checked the other CRMs here, and none lists sample tracking as a built-in feature. That is the whole story of this list: you either get it ready-made, or you build it.

What a sample tracking CRM needs to do

Our criteria come from how samples actually move in chemicals, coatings, packaging, ingredients and materials sales.

  • A sample is a record, not a note. It needs a product, a quantity, a recipient, a status and a date, so you can see every sample that is still out.
  • Feedback comes back to the same place. The buyer's verdict ("too viscous", "passed the trial") should sit on the sample, not in a rep's inbox.
  • The sample is tied to the deal and the account. When the buyer asks for a price, the rep sees what was sent first.
  • The next step is automatic. A shipped sample should create a follow-up task, so it doesn't wait for someone's memory.
  • Quote and price list are in the same system. A good result should lead straight to a quote at the customer's agreed price.
  • Buyers can be reached where they reply. Feedback often arrives on WhatsApp or Telegram.

The best CRMs for sample tracking

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Product sellers who sample before they quote

PromptLab has sample tracking on every plan, from Basic at $11.99 a user a month. You log a sample request on the account and the deal, update its status as it ships and lands, and record the buyer's feedback on the same record. A workflow can create a follow-up task when a sample changes status, so the chase happens on time.

The rest of the path is in the same product: quotes, customer price lists and sales orders. A rep can open an account, see which samples went out, then quote at the agreed price. Claude or ChatGPT can list, read, create and update sample requests over MCP, and Ask AI answers plain-word questions about the account. Buyers' replies on WhatsApp, Telegram and email land in one shared Inbox. Read how it works on quotes and samples or in our guide to tracking product samples.

2

Salesforce

Enterprise suite
Paid plans, a month$25 – $550 per seat

Best for: Large teams with an admin who can build a sample object

Salesforce is the most configurable CRM on the list. Samples aren't modelled out of the box, so tracking them means a custom object that someone has to build. Once built, you can shape it however your process needs, and AppExchange covers many integrations.

Quotes, price lists and orders start on Pro Suite at $100 a user a month, billed annually. Call recording is a $50 add-on, and autofill and MCP start at $195. Expect a project with an admin or partner, not a self-serve start.

3

Zoho CRM

Sales CRM
Paid plans, a month$14 – $52 per seat

Best for: Value-minded teams that will track samples in custom modules

Zoho CRM is free for three users and paid plans start at $14 a user a month, billed annually. Quotes, sales orders and price books arrive at $23, and WhatsApp works inside it.

Sample tracking isn't built in at any tier, so samples go out untracked or on a spreadsheet unless you set up your own module. Telegram isn't supported, and there are no AI meeting summaries.

4

Attio

AI-native CRM
Paid plans, a month$35 – $79 per seat

Best for: Teams that enjoy designing their own data model

Attio is a well-designed AI-native CRM where you define every object and attribute, so a sample object is something you can create. Up to three seats are free. That flexibility is its appeal, and the work is yours: quotes, price lists, sales orders and samples aren't in it.

Call recording waits for the Pro plan at $79 a seat, billed annually, and WhatsApp and Telegram aren't supported.

5

monday CRM

Sales CRM
Paid plans, a month$12 – $28 per seat

Best for: Teams that already run on monday.com boards

monday CRM is flexible, so a sample board with a status column is easy to make. Quotes come from the $12 Basic plan, billed annually. Sales orders, sample tracking and customer price lists aren't there, so teams rebuild them as extra boards or keep them in spreadsheets.

The AI notetaker, automations and email sync start at $17. WhatsApp and Telegram aren't supported.

6

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Small teams that want a familiar pipeline

Pipedrive is quick to learn, and Nova adds briefs, call recording and CRM updates on every plan from $14 a seat, billed annually. It has no sample tracking and no price list per customer, so who got a trial batch usually lives in a spreadsheet.

Quotes wait for Premium at $59, and WhatsApp starts on Growth at $39.

How we picked

We read each CRM's own product and pricing pages as recorded in our comparison data, and asked one question first: is a sample a real record, or something you'd have to build? Only PromptLab answers yes. We then ranked the rest on how much help they give you to build it and how much of the surrounding path (quotes, price lists, orders) is already there.

Salesforce ranks second because a custom object on it can model any sample process, if you have the admin time. Zoho CRM follows for its quote-to-order path at a lower price. Attio, monday CRM and Pipedrive follow because they lack more of the surrounding records.

Why a spreadsheet stops working

Most teams start with a sample sheet, and for a while it works. It stops when the rows outnumber the person who knows them. Three things go wrong. Nobody knows which samples are still waiting for feedback. The sheet doesn't show up when the buyer asks for a price. And the follow-up depends on someone looking at it on a Friday.

A sample request with its status and the buyer's feedback.

Moving it into the CRM fixes all three at once, because the sample belongs to the account. Our guide to moving from spreadsheets to a CRM covers the import, and what is sample management explains the process.

How to choose

If you have a Salesforce admin and a process no off-the-shelf record will fit, a custom object there is a valid route. If you enjoy designing your own data model, Attio gives you the blank canvas. For everyone else, test the real job during a trial: log ten live samples, chase the feedback and quote from the result. The quote-to-order guide shows what to check next.

Frequently asked questions

What is the best CRM for tracking product samples?

PromptLab, which has sample tracking built in on every plan from $11.99 a user a month. In the comparison data we checked, no other CRM on this list has sample tracking as a built-in feature, so they rely on custom objects, boards or spreadsheets.

Can Salesforce track samples?

Not out of the box. Samples aren't modelled, so you need a custom object that someone builds. Its quotes and price lists start on Pro Suite at $100 a user a month, billed annually.

Does HubSpot or Zoho CRM have sample tracking?

Neither lists it as a feature. Zoho CRM's quotes, orders and price books start at $23 a user a month, billed annually, but samples aren't built in at any tier. HubSpot has no sample tracking either, and its quoting now sits in the separate Revenue Hub.

What should a sample record contain?

The product, quantity, recipient, status, ship date and the buyer's feedback, linked to the account and the deal. Add a follow-up task so every sample has a next step.

Can an AI assistant create sample requests in a CRM?

In PromptLab, yes. Connect Claude or ChatGPT over MCP and it can list, read, create and update sample requests on every plan, including Basic. See connecting Claude to your CRM.
