A small sales team has no CRM admin. The founder or the senior rep sets it up on a weekend, and if it takes longer than that, the team goes back to spreadsheets. So the best CRM for a small B2B team is one that works on day one, costs little per seat and doesn't force an upgrade the moment you need a real feature.

If your small team sells products, PromptLab is the best fit. The first plan, at $11.99 a user a month, already has quotes, sales orders, sample tracking, price lists, meeting recording, workflows and the shared Inbox. There is nothing to build and no plan to climb.

What a small B2B team needs from a CRM

We judged each CRM on what a team of three to fifteen actually faces.

  • A quick start. Import a spreadsheet, connect email, sell. No data model to design first.
  • The first plan has to be enough. Count what the cheapest plan lacks, and price the plan that fixes it.
  • A price that scales per seat. Adding the sixth rep shouldn't change the maths.
  • Less typing. With no ops person, notes and updates must come from the meeting itself.
  • One place for conversations. Email, chat and calls on one contact, for whoever covers when a rep is away.

The best CRMs for small B2B sales teams

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Small teams that sell products and want to be live this week

You import accounts and contacts from CSV or Excel, connect Gmail or Outlook, and the pipeline, quotes and meetings are ready. Basic is $11.99 a user a month, or $99 a year, and Professional at $23.99 adds the deal workspace, the scheduler and dialer, and the API. Both start with a 14-day free trial.

For a small team the saving is in the typing. Meetings are recorded, summarised and turned into a follow-up draft, and CRM fields fill in from the call. Ask AI answers questions in plain words, and Slack gets a daily digest. If you are moving from HubSpot or Salesforce, two-way sync lets the team switch gradually. See how to choose a CRM.

2

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Teams that want the simplest visual pipeline

Pipedrive's pipeline view is one many reps already know, so a small team picks it up quickly. Nova adds pre-call briefs, call recording and CRM updates on every plan, from $14 a seat a month, billed annually, and the marketplace has more than 500 apps.

The cheap plan stops short on workflow automation and email sync, which start at Growth, $39, and quotes wait for Premium at $59. It has no sample, price list or sales order records.

3

HubSpot

Enterprise suite
Paid plans, a month$7 – $150 per seat

Best for: Teams that want CRM and marketing in one suite

HubSpot gives a small team a free CRM, a Starter plan from $7 a seat a month, billed annually, and marketing tools few rivals match. If marketing and sales must run in one suite, it is the strongest choice on this list for that job.

Call recording starts at $90 a seat, quoting sits in the separate Revenue Hub, and Professional and Enterprise add a $1,500 to $3,500 onboarding fee. Costs climb quickly as you add features.

4

Zoho CRM

Sales CRM
Paid plans, a month$14 – $52 per seat

Best for: Very small teams watching every dollar

Zoho CRM is free for three users and starts at $14 a user a month, billed annually. Quotes, orders and price books are at $23, and the wider Zoho suite adds accounting and a help desk.

Recording goes through marketplace telephony apps, there are no AI meeting summaries and Telegram isn't supported. Plan on stitching a few Zoho apps together.

5

Attio

AI-native CRM
Paid plans, a month$35 – $79 per seat

Best for: Teams who want to design their own CRM

Attio is a blank canvas with a polished interface: you define every object, attribute and workflow, and up to three seats are free.

A small team without a builder must design the data model, quotes, price lists and sales orders from scratch. Call recording starts at Pro, $79 a seat billed annually.

6

Close

Sales CRM
Paid plans, a month$9 – $139 per seat

Best for: Small outbound calling teams

Close is built for teams that sell by phone, with a dialer, email and SMS built in, and Chloe, its AI teammate, summarises calls on every plan. Plans run $9 to $139 a seat billed annually.

The $9 Solo plan has no pipeline, which starts at $35, and workflows start at $99. Quotes, samples and price lists are missing.

7

Copper

Sales CRM
Paid plans, a month$23 – $99 per seat

Best for: Small teams that live in Gmail and Google Workspace

Copper runs inside Gmail and Calendar, syncs Drive and Contacts and starts at $23 a seat billed annually. It is the lightest option if everyone is on Google.

It syncs only Gmail, has no meeting recording, quotes need a marketplace app, and Basic stops at 2,500 contacts.

How we picked

For a small team we asked how much of the sale each CRM covers on its cheapest useful plan. We checked each vendor's own pricing page and counted the features a product-selling team needs: pipeline, quotes, orders, recording, workflows and messaging. We then priced the plan that unlocked them.

That is why PromptLab sits above CRMs with lower headline prices. A $7 or $9 plan that lacks recording and quotes is not the real price. The comparison is fair to the others: HubSpot wins on marketing, Pipedrive on sheer ease, and Zoho CRM and Attio on free seats for three people.

Frequently asked questions

What is the best CRM for a small B2B sales team?

PromptLab, for teams that sell products: the $11.99 first plan includes quotes, sales orders, sample tracking, recording and the shared Inbox. Pipedrive is the simplest option if you only need a pipeline.

Is there a free CRM for a small team?

HubSpot has a free CRM, and Zoho CRM and Attio are free for three users. PromptLab has no free plan, but starts at $11.99 a user a month with a 14-day free trial. The free plans lack quotes, sales orders and recording at the entry tier.

How much does a CRM cost for five users?

On PromptLab, five users cost $59.95 a month on Basic, billed monthly, or $119.95 on Professional. Pipedrive's entry price of $14 is $70 a month billed annually, before the plans that add automation and quotes.

How long does setup take?

For PromptLab, a day for a small team: import a spreadsheet, connect email, and set up price lists. Attio and Salesforce take longer because you build the data model or objects first.

Can we switch later if we outgrow it?

Yes. PromptLab imports from CSV and Excel, and syncs two ways with Salesforce and HubSpot. Enterprise adds SSO, data migration support and a dedicated account manager.
