Which CRMs let you build, send and track quotes without a plug-in? Eight compared on the plan you need and what comes with the quote.

If you sell products, the quote is the centre of the deal. A buyer asks for a price on 5,000 kilos, and what you send back has to match their price list, show the right terms and be easy to turn into an order. A CRM that only tracks deal stages leaves that work in Word and Excel.

So "quotes built in" has more parts than it sounds. Can you create and send a quote from the deal? Can you track its status, so you know where it stands? Does it use customer price lists? Does it turn into a sales order? And which plan do you need, because several vendors put quoting two or three tiers up.

We compared eight CRMs on those questions, using each vendor's published plans checked on 30 September 2026. PromptLab is our own product and it ranks first, for reasons you can check. The others have real strengths and we name them.

You create a quote, send it, track its status, and it attaches itself to the deal. A workflow can react when the status changes, for example creating a task or posting to Slack. Zoho CRM has quotes, sales orders and price books from $23 a user a month billed annually, and a free plan for three users without them. Paid plans start at $14. Samples aren't modelled, call recording comes through marketplace apps, and Telegram isn't supported. Few vendors offer the quote-to-order path at this price.

Dynamics 365

Best for: Microsoft companies with IT to configure it

Dynamics 365 Sales has quotes, price lists and orders built in from Professional at $65 a seat a month, billed annually, and works inside Outlook and Teams. It is the only other CRM here with the whole quote, price list and order path on its first plan. The climb comes later: meeting recording from $105 and CRM autofill from $150. There's no sample tracking, and setup usually takes an admin or a Microsoft partner.

Salesforce

Best for: Large teams that need a platform

Salesforce can model nearly any quoting process. Quotes, sales orders and price lists start on Pro Suite at $100 a user a month billed annually, and samples need a custom object someone builds. Editions run from $25 to $550, and rollout often needs an admin or partner.

Best for: Teams that want quotes cheaply on flexible boards

monday CRM includes quotes and invoices from the $12 Basic plan, billed annually, close to PromptLab's entry price. Sales orders, sample tracking and customer price lists aren't there, so teams build extra boards or use spreadsheets. Its AI notetaker and automations start at $17.

Pipedrive

Best for: A simple pipeline, with quotes on Premium

Pipedrive has a product catalogue and a pipeline reps learn quickly, but quotes wait for Premium at $59 a seat a month, billed annually. There are no samples, price lists or sales orders. Its Nova assistant adds call recording and CRM updates on every plan.

Proton.ai plugs into the ERP and handles quotes and sales orders for distributors, with reorder prompts and catalogues as large as 500,000 SKUs. Pricing comes only after a demo, there's no free trial, and it has no meeting recording or price lists.

Best for: Marketing-led teams that can add a hub

HubSpot has a free CRM and a $7 Starter plan, and its marketing tools lead the field. Quoting is an add-on, now in the separate Revenue Hub, and sales orders and price lists aren't there at all. Professional and Enterprise carry a $1,500 to $3,500 onboarding fee.

How we picked

We read each vendor's plan page for the cheapest plan that has quotes, then asked whether the rest of the order path was there: sales orders, price lists, samples. A quote that can't become an order is half a feature.

We ranked the vendors with the whole path first, then those with quotes only, then those where quoting costs extra or needs another product. Pricing was weighed last, because a low price with a missing piece costs more later.

What quoting costs for 10 users

Take a team of ten reps and the cheapest plan that includes quotes. These figures multiply the listed seat price by ten, with each vendor's billing note.

The gap is about what you get at that price. monday CRM quotes for about the same as PromptLab, but without sales orders, samples or price lists. Zoho CRM costs about twice as much and still has no samples. Add the $1,500 to $3,500 onboarding fee HubSpot charges on its upper plans, and the real cost of "quotes built in" varies more than the seat price suggests.

What a good quote does

A quote isn't a PDF. It should:

  • pull prices from the customer's own price list, not a general one
  • show the margin on each line, so a rep doesn't discount below cost
  • track status, so follow-up happens at the right moment
  • become a sales order when the buyer says yes

Frequently asked questions

Which CRM has the cheapest quoting?

PromptLab includes quotes from $11.99 a seat billed monthly, with sales orders, sample tracking and price lists on the same plan. monday CRM includes quotes from $12 a seat billed annually, without sales orders or price lists.

Does HubSpot have quotes?

Yes, as an add-on, now in the separate Revenue Hub. Sales orders and price lists aren't available in it.

Can a CRM quote from customer price lists?

Some can. PromptLab, Zoho CRM, Dynamics 365 and Salesforce have price lists or price books, from $11.99, $23, $65 and $100 respectively.

Does a quote become a sales order?

In PromptLab the approved quote becomes the sales order on the deal. Zoho CRM, Dynamics 365 Sales and Salesforce also keep sales orders beside quotes, from $23, $65 and $100. monday CRM, Pipedrive and HubSpot don't have sales orders.

Do I need CPQ software as well?

For most B2B product teams, no. A CRM with quotes, price lists and orders covers the usual path. CPQ is for very complex configured products.
