Best CRM with sales orders in 2026
Which CRMs keep sales orders beside quotes? Seven compared on the plan you need, what comes with the order and what it costs for a product sales team.
By the PromptLab team16 October 20266 min read
A deal is not finished when the buyer says yes. Someone still has to record what was ordered, at what price and for when. If the CRM stops at the quote, that last step happens in a spreadsheet or an email, and the sales team loses sight of the order the moment it is won.
A CRM with sales orders closes that gap. The order for an approved quote goes in the same CRM and stays on the customer's account. We compared the CRMs we could check, using each vendor's published plans checked on 30 September 2026. PromptLab is our own product and it ranks first, for reasons you can verify. The others have real strengths and we name them.
What to look for in a CRM with sales orders
These are the criteria we used.
- Quote and order in one place. The order for an approved quote should sit in the same CRM, not in a spreadsheet.
- The order stays on the account. A rep looking at a customer should see what they ordered before, not only what they were quoted.
- Price lists upstream. An order is only as good as the quote behind it, and the quote is only as good as the customer's price list.
- The plan you need. Several vendors put sales orders two or three tiers up. We quote the cheapest plan with the feature.
- Questions answered in plain words. Once orders live in the CRM, you should be able to ask what a customer ordered last quarter.

The best CRMs with sales orders
PromptLab
Our pickAI-native CRM for product salesPaid plans, a month$11.99 – $99 per seatBest for: Product sellers who quote and take orders in one CRM
Sales orders come on every plan, from Basic at $11.99 a user a month. When a quote is approved, you create the sales order with the same lines, on the same account. Our academy lesson, "Turn a quote into a sales order", shows the steps. Customer price lists, quotes and sample tracking sit beside the order, and nothing is an add-on.
Ask AI answers plain-word questions about accounts, deals, quotes, sales orders, meetings and email, so "what did this customer order last quarter" has an answer without building a report. See quotes and samples in PromptLab and our guide to speeding up quote to order.

Zoho CRM
Sales CRMPaid plans, a month$14 – $52 per seatBest for: Value-minded teams that want quotes, orders and price books
Zoho CRM adds sales orders, quotes and price books from $23 a user a month, billed annually. Paid plans start at $14, and a free plan for three users does not include them. Few vendors offer the quote to order path at this price.
Sample tracking isn't built in at any tier, call recording comes through marketplace apps, and Telegram isn't supported.
Dynamics 365
Enterprise suitePaid plans, a month$65 – $150 per seatBest for: Microsoft companies with IT to configure it
Dynamics 365 Sales has quotes, price lists and sales orders from Professional at $65 a user a month, billed annually. It sits inside Outlook and Teams, and it is the only other CRM here with the whole path on its first plan.
Meeting recording starts at $105 and CRM autofill at $150. There is no sample tracking, and setup often takes a Microsoft partner.

Salesforce
Enterprise suitePaid plans, a month$25 – $550 per seatBest for: Large teams that need a platform and have an admin
Salesforce can model nearly any order process. Sales orders, quotes and price lists start at Pro Suite, $100 a user a month billed annually, within editions that run from $25 to $550.
Samples aren't modelled, call recording is a $50 add-on, and rollout usually means an admin or a partner.

Proton.ai
Distribution AIPaid plans, a monthCustom pricingBest for: Large distributors with ERP data and big catalogues
Proton.ai is built for distributors. It plugs into the ERP and handles quotes and sales orders, with prompts on who to call and who is due to reorder, across catalogues as large as 500,000 SKUs.
Pricing comes only after a demo, there is no free trial, and it has no meeting recording or price lists. For a large team with an ERP project in mind, it is a serious option. See our Proton.ai review.
monday CRM
Sales CRMPaid plans, a month$12 – $28 per seatBest for: Teams that want quotes cheaply on flexible boards
monday CRM includes quotes from the $12 Basic plan, billed annually, close to PromptLab's entry price. Sales orders, sample tracking and customer price lists are not there, so teams build extra boards or keep orders in spreadsheets.
Its AI notetaker, automations and email sync start on Standard at $17.

HubSpot
Enterprise suitePaid plans, a month$7 – $150 per seatBest for: Marketing-led teams that can add a hub
HubSpot has a free CRM and a $7 Starter plan, and its marketing tools lead the field. Quoting is an add-on, now in the separate Revenue Hub, and sales orders and price lists aren't there at all.
Professional and Enterprise carry a $1,500 to $3,500 onboarding fee.
How we picked
We read each vendor's plan page for the cheapest plan with sales orders, then asked whether the path around them was there: quotes, price lists and samples. An order with no quote behind it is just another record to type in.
The CRMs with the full path ranked first, then those with orders only, then those where orders are missing. Pricing was weighed last, because a low price with a missing piece costs more later.
What sales orders cost for 10 users
Take a team of ten reps and the cheapest plan that includes sales orders. These figures multiply the listed seat price by ten, with each vendor's billing note.
| CRM | Plan with sales orders | Seat price | Ten users, per month |
|---|---|---|---|
| PromptLab | Basic | $11.99, billed monthly | $119.90 |
| Zoho CRM | $23 plan | $23, billed annually | $230 |
| Dynamics 365 Sales | Professional | $65, billed annually | $650 |
| Salesforce | Pro Suite | $100, billed annually | $1,000 |
Proton.ai prices by quote after a demo, so it is not in the table. monday CRM and HubSpot have no sales orders to price. PromptLab's Professional plan is $23.99 a month or $199 a year, and Business is $99 a month or $948 a year. Basic and Professional come with a 14-day free trial, with no card needed.
What a good quote to order step does
Test it with a real deal in the trial. A good setup should:
- let you build the order from the same products and prices as the quote
- keep the order on the customer's account
- let you see the margin before you approve
- leave the sample history visible if the order followed a sample
