The verdict: HubSpot is the most polished all-in-one suite for teams that win business through marketing, and its free CRM is a genuine way in. For a team that sells physical products, the order side of the deal is thin: quotes sit in a separate hub, and sales orders, samples and price lists aren't there.

What HubSpot does well

The free CRM is real. HubSpot's Smart CRM costs nothing, and a small team can run contacts and deals on it before paying anything. Paid Sales Hub plans start at $7 a seat a month on Starter, billed annually.

Marketing and sales share one suite. If your leads come from content, forms and email campaigns, HubSpot's marketing automation goes far beyond a sales CRM. Marketing and sales work from the same records, in one product.

The basics are included early. Deal pipelines, workflows, the API and email sync come with the entry plan, and so do AI meeting summaries and a call dialer. Claude and ChatGPT can connect through its MCP server.

Where HubSpot falls short for B2B product sales

A manufacturer or distributor needs more than a pipeline. Here is where HubSpot stands on the things product deals run on:

  • Quotes are an add-on. They now live in Revenue Hub, a separate product sold on top of Sales Hub.
  • Sales orders, sample tracking and customer price lists aren't there at all. The order side of the deal ends up in spreadsheets.
  • Call recording and CRM autofill start on Sales Hub Professional at $90 a seat a month, billed annually. Follow-up email drafts start there too.
  • WhatsApp is an add-on, and Telegram isn't supported. Buyers who order by chat stay on a rep's phone.
  • LinkedIn profile saving and single sign-on need the $150 tier, the top of the range.
  • Onboarding on Professional and Enterprise carries a one-off fee of $1,500 to $3,500, on top of the seat price.

The pattern is that HubSpot's headline price is the start of the bill. A coatings distributor that wants quotes, call recording and WhatsApp meets three separate purchases: Revenue Hub, Sales Hub Professional and the WhatsApp add-on. Samples still have nowhere to go. Pick HubSpot if marketing drives your pipeline and you want it all under one login. It is good at that, and a free start lowers the risk.

Pick PromptLab if you sell products. Quotes, sales orders, sample tracking and customer price lists come on every plan from $11.99 a user a month, billed monthly, and so do meeting recording, WhatsApp and Telegram. There is no onboarding fee.

Does HubSpot have quotes?

Yes, but quoting now sits in Revenue Hub, a separate HubSpot product sold on top of Sales Hub. It counts as an add-on, not part of the Sales Hub plan you start on.

Can HubSpot track samples or price lists?

No. HubSpot has no sample tracking, no customer price lists and no sales orders, so the order side of the deal usually ends up in spreadsheets. PromptLab has all three on every plan.
