Selling chemicals is a slow, careful sale. A buyer asks for a grade, you send a sample, their lab tests it for weeks, procurement asks for a price, and an approval can take months. A CRM that only tracks "deal stage" loses the story somewhere in the middle.

PromptLab is the best CRM for chemical distributors. It tracks samples from shipment to result, quotes from customer price lists and records the meetings that fill a long evaluation, all from $11.99 a user a month. No other CRM we checked has sample tracking built in.

What a chemical distributor needs from a CRM

We built the criteria around the sales cycle of a chemical supplier.

  • Sample tracking with an outcome. Which grade went to whom, when, and what the lab said back.
  • Many contacts per account. Procurement, R&D and plant staff care about different things, and all need to be on the record.
  • A memory for a long cycle. Months of meetings must be on one timeline, so a new rep can pick up the account.
  • Quotes against agreed prices. A grade, a packaging size and a customer price, in one document.
  • Conversations in many places. Buyers write on email, WhatsApp and Telegram, and often in other languages.

The best CRMs for chemical distributors

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Chemical suppliers with sample-led, long sales cycles

Every sample request sits on the account and the deal, with dates, contacts and an outcome, so the follow-up lands when it should. Quotes come from the customer's price list, and the approved quote becomes a sales order. See the chemicals page, our guide to tracking product samples and CRM for chemical companies.

Meetings are recorded and transcribed in 100+ languages, then summarised, so a six-month evaluation has its history on the account. Email, WhatsApp and Telegram share one Inbox. All of it comes on the $11.99 Basic plan.

2

Salesforce

Enterprise suite
Paid plans, a month$25 – $550 per seat

Best for: Large chemical groups that can build a custom model

Salesforce is the most configurable option here, and a chemical group with an admin team can build sample objects, spec fields and approval flows on it. Quotes, price lists and orders start at Pro Suite, $100 a user billed annually.

Samples aren't modelled, so tracking them is a custom build. Call recording is a $50 add-on, and Claude and ChatGPT access over MCP starts at $195.

3

Dynamics 365

Enterprise suite
Paid plans, a month$65 – $150 per seat

Best for: Chemical companies on Microsoft, with IT staff

Dynamics 365 Sales brings quotes, price lists and sales orders from $65 a user a month, billed annually, inside Outlook and Teams. It suits a company already standardised on Microsoft, especially one running a Dynamics ERP.

There is no sample tracking, and recording starts on Enterprise at $105. Setup is a configuration project that often involves a partner.

4

Zoho CRM

Sales CRM
Paid plans, a month$14 – $52 per seat

Best for: Smaller suppliers watching every dollar

Zoho CRM is free for three users and starts at $14 a user a month, billed annually. Quotes, orders and price books begin at $23, which covers the commercial end of the sale, and WhatsApp is supported.

Samples go untracked, there are no AI meeting summaries and call recording comes via marketplace apps. Telegram isn't supported.

5

Proton.ai

Distribution AI
Paid plans, a monthCustom pricing

Best for: Distributors whose ERP holds the product data

Proton.ai tells reps who to call, what to sell and who is due to reorder, driven by ERP data, with quotes and sales orders included. It suits a distributor selling a wide catalogue on repeat orders.

Chemical sales built on samples and long evaluations lean on meetings, and it doesn't record them. Prices come after a demo, and there is no free trial.

6

Breakcold

AI-native CRM
Paid plans, a month$99 + $10/seat

Best for: Teams that sell mostly through chat and LinkedIn

Breakcold puts LinkedIn, WhatsApp, Telegram and email in one inbox, with a meeting recorder and Claude, ChatGPT and MCP. It sells one plan at $99 a month with a seat included, $10 for each extra seat and 20% off billed annually. It is a strong fit for social selling.

There are no quotes, samples or price lists, and AI use is metered in tokens beyond 3,000 included actions. A chemical team would build its own sample records.

7

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Small teams that want a simple visual pipeline

Pipedrive is easy to learn, and its Nova assistant adds briefs, call recording and CRM updates on every plan, from $14 a seat. It has an MCP server for Claude and ChatGPT.

It has no samples, no price lists and no sales orders, and quotes wait for Premium at $59. The sample and the quote would live outside the CRM.

How we picked

We scored on the five criteria above, from each vendor's own pages. Sample tracking and long-cycle memory counted most, because they are what chemical sales has that other B2B sales mostly doesn't.

Salesforce ranks second not because it is cheap, but because a determined team could build most of what a chemical distributor needs on it. Dynamics 365 and Zoho CRM follow on quoting, then the tools that cover only part of the sale.

What a chemical sale looks like in the CRM

Here is a worked example. A distributor sends a sample of a resin grade to a coatings customer. The sample is logged on the account with the date and the contact in the plant. Two weeks later the customer's R&D lead joins a call, which is recorded and summarised, and the summary notes that the grade passed the first test but the viscosity needs a second look.

The rep drafts the follow-up from the summary, and the deal moves a stage. A month on, procurement asks for a price. The rep quotes from the customer's price list, the quote attaches to the deal, and when its status changes, a workflow can create the next task. When the order lands, the quote becomes a sales order. Nothing in that chain needed a second tool.

How to choose

Make a list of your last three long evaluations and check where each fact lived: who held the sample, what the lab said, what price was agreed. If a CRM can't hold all three without a custom build, it isn't ready for a chemical sale. Use the CRM evaluation checklist to run the test during a trial.

Frequently asked questions

What is the best CRM for a chemical company?

PromptLab is the best fit for a chemical distributor because it tracks samples, quotes from customer price lists and records the meetings of a long evaluation, from $11.99 a user a month. Salesforce can do more if you have admins to build it.

Can a CRM track samples sent to customers?

PromptLab can, with sample records on the account and the deal. In the other CRMs we checked, samples aren't built in, so teams use custom objects or spreadsheets.

Do chemical sales teams need meeting recording?

Long evaluations produce a lot of spoken detail: specs, volumes, regulatory questions. PromptLab records Zoom, Meet and Teams meetings in 100+ languages and writes the summary, so the detail stays on the account.

Can buyers reach us on WhatsApp and Telegram?

Yes. In PromptLab, WhatsApp runs on your WhatsApp Business number and Telegram on your company's own bot, where the buyer messages first. Both land in the shared Inbox next to email.

Is it hard to move from spreadsheets?

No. PromptLab imports from CSV and Excel, or from a file in Google Drive. Map the columns, run the import and check a few accounts during the 14-day trial.
