A wholesaler sells the same products to many buyers, at different prices, again and again. The work is less about winning one big deal and more about never losing a reorder. Buyers phone, message and forward a purchase order, and each wants their own price.

For a wholesale business, we recommend PromptLab. Customer price lists, quotes and sales orders are on every plan from $11.99 a user a month, with WhatsApp, Telegram and email in one Inbox. Some generalists start lower, but the price lists and sales orders a wholesaler needs sit on a higher plan or aren't there at all.

What a wholesale business needs from a CRM

Wholesale has its own shape, and we ranked against it.

  • A price list per customer. The CRM should hold each buyer's prices and quote from them.
  • Repeat orders. A sales order that follows the quote, so a reorder starts from the last one.
  • A call list that reaches everyone. Hundreds of small accounts need a next step each.
  • Chat as a sales channel. Many small buyers reorder on WhatsApp or Telegram.
  • A price that holds as you add reps. Add-ons and plan jumps hurt most when ten reps need the same features.

The best CRMs for wholesale businesses

1

PromptLab

Our pick
AI-native CRM for product sales
Paid plans, a month$11.99 – $99 per seat

Best for: Wholesalers that run on price lists and repeat orders

In PromptLab each customer can have a price list, and a quote built from it becomes a sales order on the deal. A rep opening an account sees what was quoted, what was ordered and what was said on the last call. The guide to customer price lists shows the setup.

WhatsApp runs on your WhatsApp Business number and Telegram on your company's bot, in the same Inbox as email. Workflow automation is on every plan, so a status change can create the follow-up task. Plans run $11.99, $23.99 and $99 a user, with a 14-day trial.

2

Zoho CRM

Sales CRM
Paid plans, a month$14 – $52 per seat

Best for: Wholesalers who want the lowest entry price

Zoho CRM has the cheapest way in: free for three users, then from $14 a user a month, billed annually. Quotes, sales orders and price books start at $23, WhatsApp is supported and its suite of more than 50 apps reaches into accounting and support.

Telegram isn't supported, samples aren't tracked and there are no AI meeting summaries. It is the closest on price and quoting.

3

Pipedrive

Sales CRM
Paid plans, a month$14 – $79 per seat

Best for: Wholesale reps who live in a visual pipeline

Pipedrive is quick for a new rep to pick up, with more than 500 marketplace apps and its Nova assistant on every plan. Plans run $14 to $79 a seat a month, billed annually.

Price lists per customer and sales orders aren't there. Quotes start at Premium, $59, and WhatsApp and workflow automation at Growth, $39.

4

monday CRM

Sales CRM
Paid plans, a month$12 – $28 per seat

Best for: Teams who like building on boards

monday CRM starts at $12 a seat a month, billed annually, and includes quotes and invoices on its Basic plan. If your company already uses monday.com, sales can share the workspace.

Sales orders and customer price lists aren't included, and WhatsApp and Telegram aren't supported. The AI notetaker and automations start on Standard at $17.

5

HubSpot

Enterprise suite
Paid plans, a month$7 – $150 per seat

Best for: Wholesalers with a large inbound marketing engine

HubSpot has a free CRM, a Starter plan from $7 a seat, and marketing tools few rivals match. For a wholesaler that gets orders from web leads, the marketing side is a real asset.

Quoting sits in the separate Revenue Hub, and sales orders and price lists aren't available. WhatsApp is an add-on, Telegram isn't supported, and the upper plans add a $1,500 to $3,500 onboarding fee.

6

Copper

Sales CRM
Paid plans, a month$23 – $99 per seat

Best for: Small teams working entirely inside Gmail

Copper runs inside Gmail and Calendar and adds prospects from LinkedIn without leaving the inbox, from $23 a seat a month, billed annually.

Quotes need a marketplace app, there are no sales orders and Basic stops at 2,500 contacts. It syncs only Gmail, so Outlook users are left out.

What to test during a trial

Take your five most awkward customers and run each through the CRM. Can you enter their price list? Can you quote from it and turn the quote into an order? Can the rep see the last WhatsApp message beside the last email? If any answer is "we would need an add-on", add that add-on to the price before you compare.

Say your reps each manage 120 accounts. Even if only a quarter reorder in a month, that is thirty orders a rep. A one-minute saving per order is thirty minutes, before you count the errors avoided.

Where wholesale teams lose money in a CRM

Most of the loss is quiet. A rep quotes last year's price because the new list lives in a spreadsheet. A reorder sent on WhatsApp sits on one phone while the rep is on leave. A customer who used to order monthly goes silent, and nobody notices because the CRM only shows open deals.

None of these is a feature gap you see in a demo. They show up when you test with real accounts. That is why we put price lists and chat channels ahead of pipeline polish. How to run a weekly pipeline review covers the habit that catches the silent accounts.

How we picked

We scored each CRM on the five criteria, using each vendor's own pricing and product pages. Price lists and sales orders carried the most weight, then chat channels, then the plan you need for automation, because wholesale teams lean on follow-up tasks to cover many accounts.

We rank PromptLab first because it is the only one with all of customer price lists, quotes, sales orders, WhatsApp and Telegram, workflows and recording on its first plan. Zoho CRM is a close second on price, and it deserves that place.
