CPQ is software that helps sales teams build an accurate quote for a product with many options: it configures the right combination, applies the right price, and produces the quote document.

The three words are the three jobs. Configure means choose what goes in the offer. Price means work out what it costs. Quote means turn it into a document the buyer can accept.

Why CPQ matters

When a product has many variants, quoting by hand goes wrong. A rep picks an option that does not go with another, forgets a surcharge, or uses last year's price. The buyer accepts, and then you find the error.

CPQ tools exist to stop that. Rules decide which options fit together, price logic applies discounts, and approvals catch a quote that cuts margin too far.

How CPQ works

Each of the three parts does something different:

  • Configure: the system offers only valid combinations, for example a resin that suits the chosen application.
  • Price: it pulls the right price from a list, applies volume breaks and discounts, and shows margin.
  • Quote: it creates a branded document and sends it.

Heavy CPQ products add approval chains, bundles and links to ERP software. They are powerful, and they take time to set up and maintain.

Do you need CPQ?

Ask how complicated your product really is. A machine builder with thousands of valid configurations needs real configuration rules. A chemicals or plastics seller usually has a catalogue of grades, pack sizes and customer-specific prices. That is a pricing problem, not a configuring problem.

For many product teams, a CRM with good quoting and customer price lists does the job, without a separate CPQ tool and its cost.

An example from product sales

A coatings maker sells the same primer in 5, 20 and 200 litre packs, at a different price for each large customer. The rep needs the right price per pack for this buyer, with margin visible before the quote goes out. There is no configuration puzzle, so full CPQ would be more than the job needs.
