A CRM with call recording saves a rep from writing up every customer conversation. It records the call, turns it into a transcript, and, in the better ones, writes the summary and fills in the deal. The catch is where recording sits in the price list. Some vendors include it from the first plan. Others put it on plans costing $79, $90 or $105 a seat a month, billed annually.

For a team that sells products, the criteria are simple. Does the recording come with the plan or cost extra? Does it produce a summary and a follow-up draft, or just a file? Does it write back into the CRM fields? And does it handle the languages your buyers speak, since a distributor's customers rarely all talk English?

One thing to settle first. PromptLab records online meetings on Google Meet, Zoom and Microsoft Teams. There's no built-in phone system on Basic, and the call dialer comes with Professional. Attio's Call Intelligence records, transcribes and summarises calls, but only on the Pro plan at $79 a seat a month billed annually. Up to three seats are free, without recording. Its flexible data model is a real strength, but quotes, price lists and orders are left for you to build.

HubSpot's recording and transcripts start on Sales Hub Professional at $90 a seat a month billed annually, with follow-up drafts and autofill from the same plan. It has a free CRM and a $7 Starter plan, but those don't record calls. Professional and Enterprise also carry a $1,500 to $3,500 onboarding fee.

Dynamics 365

Dynamics 365 Sales works inside Outlook and Teams, and quotes, price lists and orders are built in from Professional at $65. Meeting recording starts on Enterprise at $105, and CRM autofill on Premium at $150, billed annually. There's no sample tracking.

A worked example: one meeting, two CRMs

Say a coatings rep runs a 40-minute video call with a buyer about a primer. The buyer asks for a 20-litre sample, a price at 5,000 litres and a delivery date.

With recording on the entry plan, the rep ends the call and finds a transcript, a summary with three action items and a drafted follow-up email. The rep reviews it, creates the sample request, and sends the quote from the same account.

Without it, the rep spends the evening writing notes, or skips them, and the quote request waits until memory fills in the gaps. Multiply that by a team of ten and a week of meetings, and the cost of "recording from $90" becomes the cost of the notes nobody wrote.

How we picked

We ranked by the plan each vendor puts recording on, because that is what you actually pay. Then we looked at what recording produces: a summary, a follow-up draft, a CRM update. A bare recording that nobody listens to doesn't save time.

Vendors where recording is an add-on, a marketplace app or a per-minute charge, such as Salesforce (a $50 add-on), Zoho CRM (marketplace telephony apps) and GoHighLevel (paid per minute), didn't make the top eight. Where a vendor beats PromptLab on something real, such as Close on phone dialling, we said so.

What to check in a demo

  • Languages. Test a recording in the language your biggest customer uses.
  • Where the summary goes. It should sit on the deal, not in a separate tool.
  • Who can see it. Reps' notes should be visible to a manager covering the account.
  • What's metered. Ask about minutes, tokens and storage.

Which CRM has the cheapest call recording?

On headline price, Close: its $9 Solo plan, billed annually, records calls but has no pipeline. PromptLab records meetings from $11.99 billed monthly, and Pipedrive from $14 billed annually. Of the three, only PromptLab adds quotes, sales orders and sample tracking at that price.
